Air Freight Coordinator

The Air Freight Export Clerk is responsible for coordinating international air export shipments, including airline bookings, export customs filing, transportation coordination, shipment documentation, and compliance with TSA/IAC security requirements. This role supports both B2C and B2B cargo operations, including regular cargo and Dangerous Goods (DG) shipments.

The position requires strong attention to detail, organizational skills, communication with airlines and transportation providers, and the ability to work within freight forwarding and air cargo compliance procedures.

Responsibilities

• Prepare and file Electronic Export Information (EEI/ITN) export declarations with U.S. Customs.
• Ensure export compliance and accuracy of shipment data.
• Maintain export documentation records in accordance with company and regulatory requirements.
• Monitor automatically generated airline bookings for individual package shipments.
• Verify shipment details and carrier confirmations.
• Coordinate manual airline bookings with preselected airlines based on shipment destination.
• Communicate with airlines regarding cargo acceptance and flight schedules.
• Coordinate manual airline bookings based on rates and routing options provided through tariff aggregation platforms such as 7L.
• Negotiate and confirm booking details with airlines.
• Ensure shipment routing aligns with operational and customer requirements.
• Coordinate domestic cargo transportation with TSA-approved transportation providers.
• Review transportation options and rates through approved logistics platforms.
• Contact transport providers to confirm pricing, pickup schedules, and shipment instructions.
• Coordinate transportation engagement through approved platforms such as Veroot.
• Verify transportation vendors are properly approved under IAC requirements.
• Assist with transportation vendor setup and credit application processes when required.
• Prepare and send pickup requests and transportation instructions.
• Coordinate collection and completion of Shipper’s Letter of Instruction (SLI).
• Enter shipment information into company systems and operational platforms.
• Prepare customer shipment quotes and coordinate order conversion after approval.
• Prepare and complete Master Air Waybill (MAWB), House Air Waybill (HAWB), cargo manifest, and related export documents.
• Generate required shipment documentation through logistics and cargo management systems.
• Prepare TSA security declarations and related compliance paperwork.
• Coordinate shipment handoff documentation for domestic transportation providers.
• Submit cargo manifest information electronically to airlines.
• Ensure shipments are properly completed and closed within operational systems.
• Develop operational policies and procedures.
• Maintain awareness of cargo Security Coordinator duties.
• Follow TSA, IAC, airline, and export compliance procedures.
• Support compliance with the company’s Indirect Air Carrier (IAC) security program.
• Coordinate with internal management regarding TSA and cargo security procedures.
• Assist with maintaining shipment security documentation and records.

Requirements

• Experience in air freight forwarding, air export operations, and logistics coordination.
• Understanding of international air cargo documentation and export procedures.
• Familiarity with airline booking procedures and cargo handling processes.
• Understanding of TSA/IAC cargo security requirements.
• Strong organizational and multitasking skills.
• Excellent written and verbal communication skills.
• Proficiency with Microsoft Office and logistics/shipping systems.
