Administrative Assistant / Receptionist
Cates Peterson LLP – Newport Beach, California
Cates Peterson LLP is seeking a professional, organized, and personable Administrative Assistant / Receptionist to join our team. This position is ideal for someone who enjoys working in a professional office environment, takes pride in producing high-quality work, and enjoys interacting with clients and colleagues.
The successful candidate will serve as the first point of contact for clients and visitors while providing administrative support to attorneys and staff.
Responsibilities Include:
- Greeting clients and visitors in a professional and courteous manner
- Answering and directing telephone calls
- Managing incoming and outgoing mail and deliveries
- Preparing, formatting, proofreading, and revising documents using Microsoft Word
- Filing and maintaining physical and electronic records
- Scheduling appointments and assisting with calendar management
- Scanning, copying, and organizing documents
- Assisting attorneys and staff with general administrative and office support tasks
- Maintaining an organized and professional reception area
Qualifications:
- Excellent typing and word-processing skills
- Strong proficiency with Microsoft Word
- Professional verbal and written communication skills
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and priorities
- Dependable, punctual, and professional demeanor
- Prior law firm or professional office experience is preferred but not required
- Proficiency with Microsoft Outlook, Excel, and other office software is a plus
Compensation and Benefits:
Compensation is competitive within the legal industry and will be commensurate with the applicant's experience, qualifications, and demonstrated skills.
