Program Coordinator

Position Summary To coordinate all operational aspects, including but not limited to providing administrative guidance and support for the Dispute Resolution Board, Moot Court Board, Trial Team, and Advocacy Board Directors. Essential Job Functions and Responsibilities Ensures monthly reconciliation of departmental corporate credit cards (4) assigned to the Advocacy Board Directors. This includes maintaining all itemized receipts, assigning FOAPLs, acquiring all necessary approvals, creating monthly expense reports per card, and uploading to the electronic banking system. Serves as the main point of contact for all inquiries concerning the Advocacy Boards that come into the Advocacy Center central email or in-person. Develops and maintains positive working relationships with external constituents (i.e., alumni, legal professionals, vendors, etc.) in the community. Coordinates all logistics of host events for the Advocacy Boards (Dispute Resolution, Moot Court, and Trial Team), such as the End of Year Banquets, Fall Kickoff Dinner, Annual Tryouts, and other special events for the Boards as requested. Coordinates all logistics of internal competitions hosted by the Advocacy Boards including IL Mock Trial Competition, Board tryouts, and Trial Masters Tournament. Prepares approvals and track pre-travel requests. Prepares and track check requests for travel cash advances. Prepares and track check requests for pre-competition practice meals purchased by students and coaches. Anticipates competition registration, other deadlines, and complete all required documentation and payment of fees and individual student memberships. Establishes clear communication with coaches regarding travel requests, needs, and special considerations. Disseminates competition materials and correspondence to teams and coaches. Coordinates all travel (air, ground, lodging, etc.) for students and coaches for every competition attended by Stetson Law Advocacy teams. Upon return from travel, prepare all student and coach expense reports for reimbursement or reconciliation of cash advances. Orders Advocacy Board supplies. Maintains a collaborative work environment and works well with others. Performs other duties as assigned by the Director, Trial Advocacy. Required Knowledge, Skills, and Abilities Must possess a high level of organization and strong written and verbal communication skills. Be self-motivated with minimal supervision. Ability to make decisions, exercise sound judgment, and maintain confidentiality. Ability to work as a positive team player as well as independently. Excellent follow-through and attention to detail, excellent multi-tasking, and interpersonal skills. Must be a dependable, responsible contributor committed to excellence and success. Strong customer service skills and professionalism are a must. Ability to schedule and maintain multiple events and calendars. Ability to work as a positive team player. Ability to work flexible hours during seasonal office periods, host events, etc. Required Qualifications A.A./ A.S. degree required. Bachelor's degree preferred. Will consider a combination of education, and experience (especially in higher education) in lieu of degree. At least 3 to 5 years of experience in a highly responsible administrative support role. Work Environment Work duties performed primarily in temperature-controlled office, with frequent student interaction. Lifting occasionally up to 20 lbs.
