Project Overview

• Project Coordinator will support NYPA Renewables by assisting the team with day-to-day activities, project coordination, documentation, scheduling, procurement, and cross-functional coordination.
• The Project Coordinator will act as a liaison between the NYPA Renewables team and key internal and external stakeholders, including Finance, Procurement, Legal, Community Affairs, Engineering, and other supporting departments, to track activities, facilitate communication, generate reports, and help keep day-to-day activities and projects moving forward.
• The Project Coordinator will support the daily activities of the department and projects and contribute to the successful implementation of renewable energy projects and initiatives.

Job Functions & Responsibilities:

• Assists in project planning, coordination, documentation, and communication including day-to-day departmental activities, scheduling, tracking, and reporting.
• Coordinate project and cross-functional meetings, including scheduling, preparing agendas, taking meeting notes, distributing action items, and tracking follow-up actions.
• Coordinate the Scope of Work (SOW) and RFP process for the procurement of goods and services in accordance with applicable procurement policies, including tracking required inputs, responsible parties, key dates, and follow-up actions.
• Create and verify purchase requisitions in SAP and communicate with various stakeholders in Operations, Procurement, Legal, and other supporting departments.
• Facilitate effective communication between cross-functional team members, stakeholders, and vendors.
• Maintain weekly status reports and trackers for major projects and cross-functional activities, including responsible parties, required-by dates, and outstanding actions.
• Create dashboards and leverage tools to automate reporting where applicable.
• Develop and maintain schedules for major project and cross-functional activities using Excel/MS Project and track progress against key dates.
• Maintain and update project and business development information in CRM and other applicable tracking systems.
• Support document organization and management across SharePoint, Kiteworks, and other applicable platforms.

Skills:

• General understanding of renewable energy project development and construction lifecycle (or willingness to learn) preferred.
• Experience with project management and task-tracking tools (Smartsheet, Monday.com or similar).
• Familiarity with procurement processes, contract structure, and SOW/RFP documentation.
• Experience coordinating with external developers, EPC contractors, consultants, and vendors, preferred.
• Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams) and ability to quickly learn MS 365 tools (SharePoint List, Power Automate) to develop concise project reports and dashboards.
• Proficiency in, or ability to quickly learn MS Project, SAP ERP, CRM, and other applicable business systems.
• Strong organizational, meeting coordination, risk identification, and follow-up skills.
• Strong attention to details and ability to maintain accurate project records, trackers, schedules, and status reports, including document control, version tracking, and maintaining organized project repositories.
• Ability to prioritize tasks, manage multiple deadlines, and keep project documentation and files well-organized.
• Strong verbal and written communication and presentation skills to effectively interact with team members, stakeholders, and vendors.
• Adaptability: Flexible and open to change as projects evolve, adjusting plans accordingly.

Education & Certifications:

• Bachelor's degree required; fields such as Business, Engineering, Sustainability, Environmental Science, or similar are preferred.
