Position Overview
We are seeking a detail-oriented and reliable Accounts Payable Specialist to join our established finance team in San Jose, CA. This role is integral to supporting daily accounting operations, maintaining positive vendor relations, and contributing to month-end and year-end closing procedures.

Position Details

Job Title: Accounts Payable (AP) Specialist
Department: Finance
Reports To: Controller
Location: San Jose, CA (On-Site)
FLSA Status: Non-Exempt
Work Schedule: Full-time, standard morning start (7:00 AM or 8:00 AM)

Availability: Immediate start available

Key Responsibilities

Accounts Payable Operations

Accurate processing and entry of high-volume accounts payable invoices.
Management of regular check runs and scheduled disbursements.
Timely and professional resolution of vendor inquiries.
Month-end reconciliation of A/P accounts, expenses, and liabilities.
Support with sales tax reporting and compliance filings.
Reconcile invoicing against Goods Received Not Invoiced (GRNI) records.
Partner with purchasing and procurement teams to resolve PO and invoice discrepancies.

Audit & Year-End Support

Assist with year-end audit preparation and documentation retrieval.
Maintain complete records to uphold internal financial controls and standard operating procedures.

Qualifications

Education: High school diploma or equivalent required; secondary education or coursework in accounting, finance, or business administration is preferred.
Experience: 1–3 years of experience in accounts payable, bookkeeping, or general accounting.

Core Competencies: Strong understanding of standard accounting principles, A/P workflows, account reconciliations, and general banking transactions.
Technical Skills: Proficiency in Microsoft Excel and experience working with Enterprise Resource Planning (ERP) or accounting software. Training will be provided for specific ERP systems (e.g., Syspro).
