Project Administrator (Contracting)

This role is part of Trane Technologies' Contracting group in King of Prussia. Responsibilities Work under moderate supervision, closely with Project Manager(s) to maintain routine project documentation, procurement, job costing, customer invoicing, and administrative closeout. Coordinate transition of projects from Sales to Operations within enterprise business systems. Administer projects throughout entire life cycle to ensure contract compliance and successful delivery, coordinating with regional leadership, contract management, legal, and financial services. Manage procurement processes per project requirements including material ordering/tracking, issuing purchase orders and subcontracts to qualified vendors. Coordinate monthly customer invoicing process per customer requirements and Project Manager direction, ensuring timely and accurate billing. Record project costs accurately, including timesheets, forecasting assistance, and vendor invoices using project reports. Review billing backlog and communicate with Project Managers, BAS and HVAC Field Technicians, customers, and Trane claims as necessary to resolve obstacles. Qualifications High School diploma or GED and up to two years of related experience and/or training; or equivalent combination of education and experience. Strong communication skills, proactive, capable of working independently and as part of a team. Demonstrated problem‑solving, decision‑making, rational thinking, and good judgment. Ability to prioritize tasks to meet tight deadlines in a fast‑paced environment. Previous experience with financial systems and basic accounting (accounts receivable and payable) is an asset. Construction law and regulation knowledge is an asset. Familiarity with HVAC system operations preferred (not required). Availability during standard business operating hours; flexibility to work overtime and weekends as required. Compensation Annual base salary range: $45,400.00 – $96,000.00. Compensation type: hourly. Incentive eligible: No. Sales commission eligible: No. Salary may vary based on seniority, merit, location, education, experience, travel requirements, and union designation.
