Work Schedule: 830-5pm Mon-Fri

Job Description:

We are seeking an organized and customer-focused Administrative Customer Service Representative to support daily office operations and assist community members with questions, forms, records, and general administrative requests.

The ideal candidate will enjoy working with people and be comfortable balancing face-to-face customer service with administrative responsibilities. This position requires strong attention to detail, professionalism, organization, and the ability to manage multiple priorities in a busy office setting.

Key Responsibilities:

• Welcome and assist visitors while providing professional and courteous customer service.
• Respond to customer questions and requests in person, by phone, and through email.
• Explain taxing procedures, forms, and available services in a clear and easy-to-understand manner.
• Help customers complete applications, forms, and other required paperwork.
• Enter, update, and maintain information within databases and electronic records.
• Review documents and submitted information for accuracy, completeness, and consistency.
• Process routine changes and updates to customer and property records.
• Maintain organized electronic and paper files and ensure information is properly documented.
• Perform data entry, spreadsheet updates, basic calculations, and database searches.
• Research information as needed to assist customers and resolve routine questions.
• Maintain professionalism when assisting customers with questions or concerns.
• Manage multiple administrative tasks and customer requests while meeting deadlines and maintaining accuracy.
• Assist with preparing informational materials and supporting community education or outreach activities.
• Work with internal departments and outside organizations when additional information or assistance is needed.
• Identify opportunities to improve administrative processes, organization, and the customer experience.
• Assist with meetings, special projects, and other office initiatives as needed.
• Maintain confidentiality when handling customer records and sensitive information.

Qualifications:

• Previous experience in administrative support, customer service, office administration, or a related field.
• Strong interpersonal and communication skills with the ability to interact comfortably with the public.
• Excellent attention to detail and accuracy.
• Strong organizational and time-management abilities.
• Comfortable using Microsoft Office, spreadsheets, databases, and other computer systems.
• Ability to learn new software, procedures, and processes quickly.
• Ability to prioritize and manage multiple responsibilities in a fast-paced environment.
• Professional, dependable, and service-oriented demeanor.
• Ability to work independently while contributing effectively as part of a team.

Additional Details:

• This is a highly public-facing administrative position with regular in-person customer interaction.
• The successful candidate should be comfortable answering questions and patiently helping customers navigate forms and processes.
• Strong customer service, administrative organization, and attention to detail are essential.
• Prior government or municipal experience is helpful but not required.
• Training will be provided on department-specific systems, procedures, and programs.
