**Billing Specialist [Full-Time] Houston, TX **

Are you a detail-driven billing professional who thrives in a fast-paced environment? Transwest Mobile Truck Repair is looking for a Billing Specialist to join our team in Houston, TX. You'll serve as a key point of contact for customers throughout the invoicing process, working heavily within customer billing portals to make sure invoices are submitted accurately and paid on time. Bilingual (English/Spanish) candidates are strongly preferred.

What You'll Do:

Rental Billing & Invoicing (Primary Focus)

• Serve as the main billing support for our rental operations, which will make up the majority of this role
• Generate and distribute accurate rental invoices in line with contract terms and billing schedules
• Manage time-based rental billing periods (daily, weekly, monthly, and 28-day cycles) as well as set/fixed-rate billing
• Review rental agreements and work orders for accuracy before invoicing
• Verify that invoices reflect correct rental rates, equipment, dates, and applicable charges
• Resolve billing discrepancies in coordination with operations and field teams
• Maintain organized billing records with proper account coding

Billing Portal Management

• Submit invoices through customer billing portals, including Coupa, Ariba, MLA, One Bill, Corrigo, Holman, and AutoIntegrate
• Monitor portal status for approvals, rejections, and exceptions, and resolve issues quickly
• Ensure all portal submissions meet each customer's specific requirements to prevent payment delays

Additional Customer Billing

• Provide billing support for our non-rental customer accounts as workload allows
• Review service tickets, sales orders, and supporting documentation prior to invoicing
• Correct and reissue invoices as needed to resolve customer questions or discrepancies

Customer Communication & Purchase Orders

• Serve as a primary billing contact for customers, communicating professionally and clearly
• Proactively reach out to customers to obtain purchase orders (POs) required before invoicing
• Track and follow up on outstanding or expiring POs to prevent billing delays
• Handle billing inquiries and disputes promptly and with a solutions-first mindset
• Partner with internal operations and account managers to keep customer information current

Reporting & Administrative

• Support month-end close activities including billing reconciliation and invoice aging review
• Maintain organized digital and physical records per company retention policies
• Assist with ad hoc finance and billing projects as needed

What We're Looking For:

Requirements

• 2+ years of billing or invoicing experience
• Strong hands-on experience with customer billing portals such as Coupa, Ariba, MLA, One Bill, Corrigo, Holman, or AutoIntegrate
• Experience with rental billing, including time-based billing periods and set/fixed-rate billing
• Experience obtaining and tracking purchase orders from customers
• Strong customer communication skills with a professional, solution-oriented approach
• Proficiency in Microsoft Excel and accounting/ERP software
• High attention to detail with accurate data entry skills
• Ability to juggle multiple priorities and hit deadlines in a high-volume environment

Preferred Qualifications

• Bilingual proficiency in English and Spanish (verbal and written)
• Prior billing experience with an equipment rental company
• Background in fleet services, truck repair, or field services
