We are seeking a Bilingual Spanish Admin for a temporary Program Assistant opportunity in Woodland Hills, CA. 6+ months LOA coverage. This role provides front desk, administrative, clerical, and operational support for a clinical outpatient program and is ideal for a detail-oriented administrative professional who enjoys helping clients, supporting staff, and keeping daily office operations running smoothly.
The Bilingual Spanish Admin is often the first voice and face of the program, so a warm, professional, and service-focused approach is essential. This position offers the opportunity to work in a mission-driven environment with supportive leadership, collaborative teams, and meaningful daily interaction with clients, clinicians, psychiatrists, and partnering agencies. Success in this role requires strong confidentiality, organization, communication, and the ability to manage multiple priorities in a fast-paced healthcare-related setting.
Key Responsibilities
- Manage incoming phone calls, referral calls, front desk visitors, client check-ins, call screening, and general reception duties with professionalism and confidentiality.
- Provide administrative, clerical, data entry, documentation, filing, mail handling, office supply ordering, petty cash, reporting, and financial reconciliation support.
- Coordinate scheduling for psychiatrists, clinicians, doctor days, client appointments, immediate follow-ups, and program-related meetings.
- Support psychiatry administrative logistics, including appointment reminders, pharmacy and medical provider correspondence, faxed requests, quality assurance support, and schedule maintenance.
- Maintain client files, upload documents, manage SharePoint or electronic records, take meeting notes, and assist with chart and documentation management.
- Assist with Patient Financial Information forms, Medi-Cal eligibility checks, intake documentation, agency vehicle logs, errands, and other operational tasks as assigned.
Compensation and Benefits
- Job Type: Contract/Temporary.
- Pay: $23.00 per hour.
- Salary Range: $42,000 to $48,000 per year.
- Location: Woodland Hills, CA.
- Duration: 6+ months.
