Ambulatory Care Clinic Billing Coordinator

DescriptionThe Lemuel Shattuck Hospital (LSH), operated by the Massachusetts Department of Public Health (DPH), is seeking a dynamic and experienced Billing Coordinator to join the Ambulatory Care Clinic (ACC). The Billing Coordinator provides essential administrative and operational support for inpatient and outpatient billing, patient scheduling, provider coordination, referrals, and reporting. Working closely with providers and clinical staff, the position coordinates service referrals, prescription renewals, prior authorizations, post-visit follow-up, and billing activities to support efficient and timely patient care. The Billing Coordinator also provides backup support to the ACC Care Coordinator and Telemedicine Coordinator.Please note: 8-4pm Monday - Friday with weekends offDuties and Responsibilities (these duties are a general summary and not all inclusive):Serves as a central resource for inpatient and outpatient billing, charges, prescriptions, and related inquiries; investigates and resolves discrepancies.Processes, maintains, and submits inpatient and outpatient billing records accurately and timely, including specialty clinic billing and variance review.Verifies scheduling information and maintains accurate linkage among patient encounters, billing records, and reporting functions using Meditech.Oversees patient documentation and required forms through Meditech and electronic document management systems.Coordinates referrals by reviewing and tracking requests from external providers, obtaining required information, and educating referring offices on established processes.Contacts patients to assess service needs, coordinate care, schedule appointments, reinforce care plans, and obtain records from outside healthcare facilities.Prepares and assembles laboratory, imaging, specialty care, and testing documentation for provider review prior to follow-up visits.Provides clerical and operational support to ACC Care Clinics, including development, maintenance, and distribution of ACC Summary Sheets.Coordinates services and information exchange with correctional facilities, community organizations, and healthcare providers.Assists patients with MassHealth and other insurance-related questions, coverage, and enrollment processes.Compiles, tracks, and presents departmental data and performance metrics for leadership review.Participates in departmental meetings, team discussions, and ongoing operational initiatives.Provides backup support to the ACC Care Coordinator and Telemedicine Coordinator.Required Qualifications:Knowledge of office management principles, practices, and procedures.Demonstrated skill in preparing clear, concise reports and written communications.Sound judgment and decision-making skills in addressing routine and complex situations.Strong verbal and written communication skills, with the ability to convey information clearly, concisely, and logically.Proficiency in computer applications for research, database management, and document preparation.Strong organizational skills, with the ability to manage large volumes of information and prioritize multiple projects simultaneously.Effective interpersonal skills and the ability to work collaboratively with diverse individuals and groups.Understanding of and ability to apply organizational policies, procedures, guidelines, and standards.Preferred Qualifications:Knowledge of laws, regulations, policies, procedures, standards, specifications, and guidelines applicable to assigned unit activities.Familiarity with the organizational structure, functions, and operations of the assigned agency.Understanding of appropriate procedures for making, receiving, and directing agency telephone calls.Working knowledge of agency forms, including their purpose, use, and processing requirements.Awareness of laws, rules, and regulations governing the state personnel system.About the Lemuel Shattuck Hospital:Lemuel Shattuck Hospital is a fully Joint Commission accredited teaching facility that provides acute, subacute, and ambulatory care to patients referred by public agencies and private sector providers. Shattuck Hospital’s services help economically and socially disadvantaged patients to get high quality, cost-effective care from a staff that respects their dignity.Located in the heart of Boston’s Jamaica Plain neighborhood, the Shattuck Hospital includes 248 inpatient beds including 95 Psychiatric beds and 29 Correctional Health beds. In addition, the Shattuck has a full outpatient clinic with many specialties that offers treatment to patients of the Department of Mental Health as well as Department of Correction and House of Correction inmates and community patients. The Shattuck hospital is on the forefront of substance use disorder treatment including a Suboxone clinic serving 200 patients.
