Production Coordinator

Job Description Our client, a leading global entertainment company, is seeking a Production Coordinator. Location: New York, NY Duration: 6 months (06/15/2026 – 12/18/2026) Pay Range: $17-22/hr. on W2 The Production Operations Coordinator supports end‑to‑end production, order management, and fulfillment across retail merchandise programs. This role tracks purchase orders, manages work‑in‑progress (WIP), maintains ERP data accuracy, and ensures visibility across inbound and outbound shipments. The coordinator partners closely with vendors, factories, logistics providers, finance, and internal merchandising teams to ensure timely delivery, accurate documentation, and efficient production workflows. This role operates in a fast‑paced retail environment supporting high‑volume merchandise programs. The ideal candidate is detail‑oriented, highly organized, and comfortable managing multiple priorities across cross‑functional teams while maintaining accuracy in ERP and reporting systems. Job Functions Manage end‑to‑end purchase order tracking from creation through final delivery across retail accounts (Hot Topic, BoxLunch, Torrid) Maintain and update production and order data within Navision (ERP) and shared tracking systems Track goods across all stages including on order, in production (WIP), and in transit Ensure shipment visibility by enforcing ASN compliance and accurate logistics documentation Perform goods receipt entries in ERP systems for incoming products and components Review packing lists, invoices, and shipment documentation to ensure accuracy and alignment with orders Coordinate with vendors, factories, and 3PL partners to ensure on‑time shipment and delivery compliance Support Finance with invoice coding, vendor documentation, and payment processing workflows Collaborate cross‑functionally with Product Development, Logistics, Merchandising, and Finance teams to resolve discrepancies, shortages, or delivery issues Maintain dashboards, logs, and reporting tools to track KPIs including on‑time delivery and cycle time Provide administrative and operational support for production workflows and order management processes Identify and escalate production or shipment issues to ensure timely resolution and minimal disruption Skills / Abilities Strong proficiency in Microsoft Excel (VLOOKUPs, Pivot Tables, formulas, data tracking) Experience with ERP systems such as Navision, SAP, or similar platforms Strong understanding of order management, production tracking, or supply chain workflows Excellent attention to detail and high accuracy in data entry and documentation Ability to manage high‑volume transactional work in a fast‑paced environment Strong communication and cross‑functional collaboration skills Highly organized with strong prioritization and time management abilities Retail, apparel, wholesale, or consumer products experience preferred Experience 0–2 years of professional experience in production coordination, order management, operations support, supply chain administration, or related fields.
