Executive Assistant

Overview

We are seeking a highly organized and proactive Executive Assistant to support our CEO in managing daily operations, strategic initiatives, and administrative functions. This role offers an exciting opportunity to contribute to a healthcare organization that values compassion, collaboration, and excellence. The ideal candidate will possess strong administrative skills, technical proficiency, and the ability to coordinate multiple projects efficiently.

Duties
  • Manage and coordinate the CEO's calendar, scheduling appointments, meetings, and travel arrangements with precision.
  • Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and transcribing notes.
  • Organize and facilitate meetings through video conferencing software, prepare agendas, and ensure follow-up on action items.
  • Assist with event planning for company functions or stakeholder engagements to ensure seamless execution.
  • Handle office management tasks such as filing, data entry, maintaining office supplies, and overseeing front desk responsibilities.
  • Collaborate with C-suite executives and team members to streamline workflows and improve operational efficiency.
  • Utilize productivity software such as Microsoft Office, Google Workspace, and QuickBooks for various administrative functions including bookkeeping and invoicing through DocuSign.
Qualifications
  • Proven experience as an executive assistant or personal assistant supporting C-suite executives in a fast-paced environment.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent typing speed, proofreading abilities, and attention to detail for accurate transcription and document preparation.
  • Proficiency in office management tools including Microsoft Office Suite, Google Workspace, QuickBooks, and video conferencing platforms.
  • Demonstrated experience in event planning, project coordination, and office administration.
  • Knowledge of bookkeeping practices, data entry procedures, and multi-line phone systems.
  • Exceptional communication skills with professional phone etiquette and customer service orientation.
  • Technical proficiency in office equipment and software necessary for efficient workflow management.
