Vortex Doors, America’s highest-quality and most customer-centric commercial and industrial door installation and repair company, is seeking a dedicated and detail-oriented Contract Administrator to join our team in Irvine, CA. This position reports to the Operations Manager.

As a Contract Administrator, you will play a critical role in reviewing, negotiating, and administering customer and contractor agreements to support Vortex's nationwide operations. Unlike a traditional general contractor contract administration role, this position is heavily focused on reviewing contracts from the perspective of a subcontractor, identifying and mitigating contractual risk, and preparing redlines to customer and prime contractor agreements.

The ideal candidate will have experience reviewing construction contracts, master service agreements, service contracts, purchase orders, and subcontract agreements, with a strong understanding of risk allocation, insurance requirements, indemnity provisions, payment terms, and compliance obligations.

Required Skills & Qualifications:

• Review, analyze, and redline customer contracts, subcontract agreements, master service agreements, work orders, and purchase orders to ensure alignment with Vortex risk standards and business objectives.
• Identify and negotiate contractual provisions related to indemnification, insurance, warranties, payment terms, dispute resolution, limitation of liability, and other risk-related clauses.
• Manage contract lifecycle activities from receipt through execution, renewal, amendment, and closeout.
• Serve as the primary point of contact for contract negotiations with customers, general contractors, procurement teams, and internal stakeholders.
• Evaluate contract deviations and assess operational, legal, and business impacts while recommending appropriate revisions.
• Facilitate completion of customer prequalification packages, vendor onboarding documents, and compliance questionnaires.
• Maintain contract databases, track key deadlines, expiration dates, insurance requirements, and renewal opportunities.
• Partner closely with Operations, Service, Sales, Accounting, and Leadership teams to ensure contractual obligations can be operationally supported.
• Review payment terms and contract requirements to support billing, collections, and compliance with customer expectations.
• Process and review bond requests and customer-specific compliance requirements.
• Maintain organized contract files, correspondence, redlines, negotiation records, and executed agreements.
• Prepare contract summaries and risk assessments for management review and approval.
• Support continuous improvement initiatives related to contract administration processes, templates, and risk management practices.

Required Experience/Education/Training

To perform this job successfully, an individual must possess the outlined experience level, education, training, minimum years of experience, product, or industry knowledge plus any certifications to be considered.

• High school diploma or equivalent required; Associate's or Bachelor's degree in Business, Legal Studies, Construction Management, or related field preferred.
• Minimum of 3 years of experience in contract administration, contract negotiation, legal support, procurement, risk management, construction, or a related field.
• Demonstrated experience reviewing and redlining customer-facing contracts, subcontract agreements, master service agreements, and commercial terms and conditions.
• Strong understanding of contract risk management, including indemnity, insurance, limitation of liability, warranty, and payment provisions.
• Experience supporting a subcontractor, service contractor, specialty contractor, or similar organization is strongly preferred.
• Construction industry experience is highly desirable.
• Excellent written communication skills, with the ability to prepare professional contract redlines and negotiation responses.
• Strong analytical and problem-solving skills with the ability to identify contractual risks and recommend practical business solutions.
• Exceptional organizational skills and attention to detail with the ability to manage multiple priorities and deadlines.
• Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
• Experience working with contract management systems, DocuSign, or similar document management platforms is preferred.

Preferred Qualifications

• Experience negotiating agreements with general contractors, national accounts, procurement departments, and commercial customers.
• Familiarity with construction service agreements, maintenance contracts, public works contracts, and master subcontract agreements.
• Knowledge of insurance requirements, certificates of insurance, bonds, and risk transfer principles.
