About the Role

We’re looking for a highly organized, detail-oriented National Account Coordinator to support a high-volume national account. This role is a great fit for someone who enjoys keeping things organized, building relationships, solving problems, and making sure nothing falls through the cracks.

You’ll work closely with our Account Manager, Operations team, and vendor network to coordinate work orders, manage vendor onboarding and compliance, support account administration, and help keep financial processes on track.

What You’ll Do

Vendor Sourcing & Onboarding

• Identify and connect with qualified vendors to support account needs and new market growth.
\n
• Coordinate vendor onboarding and ensure all required documentation is completed before activation.
\n
• Maintain accurate vendor records, including trade specialties, service areas, qualifications, and contact information.
\n
• Coordinate background checks and site-access badges as needed.
\n

Compliance & Documentation

\n
• Track and maintain vendor compliance documents, including Certificates of Insurance (COIs), W-9s, Master Service Agreements (MSAs), licenses, and safety documentation.
\n
• Monitor expiration dates and proactively follow up on missing or outdated paperwork.
\n
• Maintain accurate records and ensure vendor profiles meet client-specific requirements.
\n
• Work with vendors, insurance agents, and third-party partners to resolve documentation issues.
\n

Account & Operational Support

\n
• Receive, log, and help coordinate incoming work orders and emergency service requests.
\n
• Support Operations in identifying qualified, available, and compliant vendors.
\n
• Communicate account updates, action items, and process changes to internal teams.
\n
• Maintain tracking reports, monitor deliverables, and assist with account meetings and reporting.
\n
• Partner with the Account Manager to ensure timely follow-up and consistent execution.
\n

Financial & Administrative Support

• Submit invoices accurately through client-specific portals.
\n
• Monitor accounts receivable aging and follow up on outstanding or past-due invoices.
\n
• Research invoice discrepancies, short payments, and rejected invoices.
\n
• Track emergency purchase orders (POs) and follow up on proposals awaiting approval or PO receipt.
\n
• Identify recurring issues and help improve billing and administrative processes.
\n

Vendor Relationships

• Build positive, professional relationships with vendors while holding them accountable for deadlines and requirements.
\n
• Respond to routine vendor questions and assist with onboarding and compliance issues.
\n
• Communicate clearly, document follow-up, and escalate concerns when needed.
\n

What We’re Looking For

\n
• High school diploma or equivalent.
\n
• 2–3 years of experience in administration, vendor coordination, customer service, operations support, insurance documentation, or a related field.
\n
• Strong organizational skills and attention to detail.
\n
• Excellent written and verbal communication.
\n
• Ability to manage multiple priorities, deadlines, and open items.
\n
• Confidence following up with others, sourcing new vendors, and holding people accountable professionally.
\n
• Proficiency with Google Workspace, Microsoft Office, or similar business systems.
\n
• Ability to handle confidential and business-sensitive information.
\n

Nice to Have

\n
• Experience managing Certificates of Insurance or compliance documentation.
\n
• Familiarity with MSAs, contracts, or vendor onboarding.
\n
• Experience in facilities maintenance, construction, restoration, property management, or field services.
\n
• Familiarity with CRM systems, work-order platforms, vendor databases, or document-tracking systems.
\n
• Experience with Avetta or similar vendor compliance platforms.
\n
