Administrative Assistant

The Administrative Assistant plays a vital role in supporting the day-to-day operations of our industrial services business. This position is responsible for a variety of administrative, financial, and operational tasks that ensure accuracy, efficiency, and effective communication across departments. The ideal candidate is detail-oriented, organized, and able to manage multiple priorities in a fast-paced environment. Responsibilities Accurately enter and maintain data in internal systems, accounting software, and other databases. Manage accounts receivable (AR), including invoicing, payment tracking, collections support, and reconciliations. Maintain vendor and customer records and ensure all documentation is up to date. Assist with month-end closing tasks and A/R aging reports. Prepare and process employee expense reports. Assist with incoming calls and emails professionally and promptly, providing excellent customer service. Communicate with vendors, customers, and internal teams via email and phone. Maintain organized digital and physical files for easy reference and audits. Perform other administrative and operational duties as assigned by the Accounting Manager. Qualifications High school diploma or equivalent; Associate’s degree in Business, Accounting, or related field preferred. 2+ years of experience in an administrative, accounting, or operations role. Experience with accounting software, such as QuickBooks Strong understanding of A/R processes, PO creation and matching. Proficient in Microsoft Office (Excel, Outlook, Word). Preferred Qualifications Experience in the industrial services, construction, or utility industry. Familiarity with job costing and inventory tracking. Excellent attention to detail and accuracy. Strong organizational and time management skills. Ability to multitask and meet deadlines. Effective communication and interpersonal skills.
