Senior Admin Assistant, Finance
The Senior Admin Assistant, Finance provides high-level administrative and operational support to the accounting team. This role ensures efficient departmental operations through coordination, organization, and support of financial and administrative activities. This position requires working onsite in the Alameda office.
Specific duties and responsibilities include:
- Providing administrative support, including meeting coordination, document management, filing, scanning, and copying.
- Managing calendars for senior finance staff, including making travel arrangements.
- Serving as a liaison with internal executives, board members (including the Audit Committee leadership), vendors, and external auditors.
- Preparing and distributing reports and presentation materials for internal and external stakeholders.
- Supporting departmental planning and budgeting of team activities.
- Maintaining and organizing financial records, including data entry and report compilation.
- Assisting with travel and expense reimbursements, fixed assets, accounts payable, and accounts receivable processing.
- Providing support during internal and external audits.
- Participating in special projects and performing other duties as assigned.
- Adhering to the Company's Quality Management System (QMS) as well as domestic and global quality system regulations, standards, and procedures.
- Understanding relevant security, privacy, and compliance principles and adhering to the regulations, standards, and procedures that are applicable to the Company.
- Ensuring other members of the department follow the QMS, regulations, standards, and procedures.
Required qualifications include:
- High school diploma with 4+ years of relevant administrative experience, or equivalent combination of education and experience.
- Strong written, verbal, and interpersonal communication skills.
- High level of accuracy, attention to detail, and organizational ability.
- Proficiency in Microsoft Word, Excel, and PowerPoint.
- Ability to prioritize tasks and manage multiple assignments effectively.
Working conditions include:
- General office environment.
- Willingness and ability to work on site.
- Requires some lifting and moving of up to 10 pounds.
- Must be able to move between buildings and floors.
- Must be able to remain stationary and use a computer or other standard office equipment, such as a printer or copy machine, for an extensive period of time each day.
- Must be able to read, prepare emails, and produce documents and spreadsheets.
- Must be able to move within the office and access file cabinets or supplies, as needed.
Base pay range per hour: $36.00 - $48.00. Individual compensation will vary based on factors such as qualifications, skill level, competencies, work location and shift, and will increase over time based on meeting performance and business needs.
