The Opportunity

The Sales Support Specialist provides operational and customer support throughout the sales cycle by coordinating quotes and orders, responding to customer inquiries, maintaining accurate sales and CRM information, and supporting domestic and international sales activities. This role serves as a key point of support for the Sales team and works cross-functionally with Account Services, Shipping, and other departments to ensure timely, accurate, and responsive service to internal and external customers.

Key Responsibilities

• Processes customer orders and prepares accurate quotes and related sales documentation
• Provides comprehensive administrative and operational support to domestic and international sales teams throughout the sales cycle
• Maintains a thorough understanding of company products, features, compatibility, pricing, supporting materials, promotional packages, and available discounts to provide accurate information to customers and the sales team
• Responds to current and prospective customer inquiries through online chat, email, and other professional sales support
• Tracks and enters domestic and international leads from tradeshows, webinars, online subscriptions, and other sources into the CRM and ensures information is accurate and routed appropriately for timely follow-up
• Maintains accurate customer, lead, quote, and sales-related information within the CRM and other applicable systems
• Coordinates with Shipping and other internal departments to gather shipping information, address logistics concerns, and assist with resolving customer or order-related issues
• Prepares and maintains documentation for domestic bid proposals, vendor applications, and other sales-related requirements
• Processes internal orders for supply chain needs, promotional materials, tradeshows, R&D requests, and other business needs
• Maintains accurate online store information and coordinates timely updates as needed
• Monitors and manages high volume sales support email communications, prioritizing and responding to inquiries in a timely manner
• Proofreads sales documents and materials for accuracy, completeness, and consistency
• Serves as a backup to the Account Services Representative team, assisting with customer and order support as needed
• Identifies issues, discrepancies, or process gaps and works with appropriate team members to support timely resolution
• Performs other additional duties as assigned or required

What You'll Bring

• High School Diploma or equivalent (GED), or equivalent combination of education and directly-related experience
• 2+ years of experience in sales support, customer service, order processing, or administrative support
• Experience working with CRM systems and Microsoft 365 applications, including Outlook, Word, and Excel

Desired Qualifications

• Associate's or Bachelor's degree in Business Administration, Marketing, Communications, or a related field
• Experience working in a high-volume customer service or administrative environment
• Experience with order processing, quoting, or customer account support
• Experience supporting international sales or customers

Work Location

• Realityworks is headquartered in Eau Claire, Wisconsin. This is a fully remote position, working from a home office.

Travel Requirements

• Occasional (10% or less) for training purposes
