Office Services Specialist

Los Angeles, CA Summary The Office Services Specialist is responsible for supporting daily office operations including reprographics, mail services, conference coordination, and supply management within a law firm or service-oriented environment. This role requires a dependable self-starter who upholds high standards of confidentiality and professionalism. Duties and Responsibilities Perform, complete and deliver duplicating and reprographics projects (printing, copying, binding, scanning). Sort and distribute incoming mail and deliveries. Prepare and process outgoing domestic and international U.S. mail and courier packages (FedEx, UPS, DHL, or etc.). Coordinate messenger services with selected vendors. Utilize and run reports in our workplace management software to provide conference center support while coordinating with Client Services on a continuous basis regarding conferences, visitors, and events. Maintain office supplies inventory in neat, orderly fashion. Flags and reports when items are running low. Maintain outgoing shipping supplies, account funds on Stamps.com, and manage tracking spreadsheets of incoming/outgoing courier packages. Ensure all equipment and software is properly functioning in the office services center. Assist with Records Management and Hospitality Services. Conduct move projects, as needed. Perform back-up reception as well as other duties and projects, as needed. Uphold high standards of confidentiality, discretion, and integrity, particularly with respect to all sensitive and/or confidential firm and client information to which this position will have access. Requirements 2+ years’ experience in law firm or other service-oriented environment; High School Diploma required, BA/BS preferred. Excellent written, verbal, organizational, technical and interpersonal skills. Ability to sit, stand, work in confined spaces, lift and move up to fifty pounds, and use various hand tools. Strong customer service skills; Must be responsive, reliable, and a self-starter with minimal supervision. Ability to work under pressure, facilitate solutions, multi-task, and work independently and as part of a team. Adhere to timely and regular attendance; flexible to planned (and sometimes unplanned) overtime.
