The Role As a Virtual Assistant, you’ll handle daily administrative tasks to ensure seamless operations for healthcare teams. You’ll manage scheduling, coordinate communication across departments, and maintain accurate records—all while fostering efficient collaboration in a remote work setting aligned with US hours. What You’ll Do Manage calendars and coordinate appointments for healthcare staff and facilities Schedule patient consultations, team meetings, and follow‑up sessions Handle correspondence, emails, and coordination between internal teams and external partners Track and update operational records, spreadsheets, and patient scheduling systems Support general administrative operations and process improvement initiatives Communicate clearly and promptly with US‑based teams during EST business hours Ensure all information is handled with confidentiality and professionalism Essential Requirements Based in South Africa Fluent English (first language proficiency) Able to work EST business hours (typically 3pm–11pm SAST) Reliable internet connection and equipped home office setup Minimum 2 years of experience as a Virtual Assistant, Administrative Assistant, or Scheduler Strong organizational and prioritization skills Excellent written and verbal communication abilities Proficiency with Microsoft Office, Google Workspace, and scheduling tools (e.g., Calendly, Zoom, Slack) Ability to learn new software tools quickly and apply them effectively Preferred Previous experience supporting healthcare providers, medical offices, or clinics Familiarity with US healthcare scheduling or patient management systems Experience in remote work environments Exposure to CRM tools or task management systems (e.g., Asana, Trello) Experience communicating across time zones Technology Stack Microsoft Office Suite Google Workspace Zoom Slack Calendly Asana CRM platforms (HubSpot or Salesforce advantageous) What We Offer Full‑time remote contract position Work from anywhere in South Africa EST business hours (approximately 3pm–11pm SAST) Competitive monthly contract rate (commensurate with experience) Timely and reliable monthly payments via international transfer Growth opportunities supporting a fast‑growing US healthcare organization Professional development through exposure to global operations Working with Our US Client This role is offered through our South Africa–US partnership model.
