Procurement Specialist

We are seeking a highly organized and detail-oriented Procurement Specialist to support purchasing, inventory, and parts operations. This position will be responsible for coordinating purchase orders, communicating with vendors, tracking incoming materials, maintaining accurate records, and ensuring parts and supplies are available when needed.

Strong organizational skills are essential for this position. The ideal candidate will be comfortable managing multiple orders, vendors, deadlines, and priorities at the same time while maintaining accurate documentation and consistent follow-up.

Key Responsibilities

• Create, process, and track purchase orders from request through delivery
• Communicate with vendors regarding pricing, availability, lead times, and order status
• Follow up on outstanding orders and resolve delays or discrepancies
• Maintain organized and accurate purchasing and procurement records
• Monitor inventory levels and assist with identifying purchasing needs
• Source parts, materials, and supplies from approved or prospective vendors
• Compare vendor pricing and availability to support purchasing decisions
• Coordinate incoming orders with operations, warehouse, and other departments
• Verify received materials against purchase orders and resolve discrepancies
• Maintain accurate information within the company's ERP or inventory system
• Assist with shipping, receiving, returns, and damaged or incorrect orders
• Help ensure critical parts and materials are available to prevent operational delays
• Maintain organized electronic and physical documentation
• Manage multiple purchasing requests and priorities simultaneously
• Build and maintain professional relationships with vendors
• Assist with additional procurement, inventory, and administrative responsibilities as needed

Qualifications

• Previous experience in procurement, purchasing, parts, inventory, supply chain, or a related position preferred
• Strong organizational and time-management skills are required
• Experience creating, processing, or tracking purchase orders
• Strong attention to detail and accuracy
• Ability to manage multiple orders, vendors, deadlines, and priorities without losing track of details
• Strong follow-up and communication skills
• Experience working with vendors and suppliers preferred
• Familiarity with ERP, purchasing, or inventory-management systems
• Proficiency with Microsoft Excel, email, and general computer systems
• Ability to identify discrepancies and resolve issues efficiently
• Comfortable working in a fast-paced environment with changing priorities
