Outside Service Writer

Florida Utility Trailers, Inc. – Hialeah, FL
Full-Time

Florida Utility Trailers, Inc., a family-owned and operated semi-trailer dealership serving Florida since 1977, is seeking an Outside Service Writer for our Hialeah location.

This position combines outside customer development, service sales, and repair coordination . The Outside Service Writer will spend time visiting existing and prospective fleet customers, identifying service opportunities, preparing estimates, coordinating repairs, and helping ensure customers receive timely communication from initial inspection through completion.

The ideal candidate understands commercial trucks and trailers, is comfortable working directly with fleet customers and drivers, and can balance sales, customer service, and operational follow-through.

Responsibilities

• Visit existing and prospective customers throughout the South Florida market to develop service business and strengthen customer relationships.
• Identify trailer repair, maintenance, mobile service, and refrigeration service opportunities.
• Inspect customer equipment and gather the information needed to accurately document repair needs.
• Prepare repair estimates and obtain customer approvals.
• Open and manage repair orders and ensure customer concerns and requested repairs are properly documented.
• Coordinate with Service Managers, technicians, Parts personnel, and mobile service technicians to schedule and complete repairs.
• Communicate repair status, additional findings, pricing changes, and completion timelines to customers.
• Follow up on outstanding estimates and recommended repairs.
• Help develop new fleet accounts and expand service business with existing customers.
• Maintain regular contact with key customers and identify upcoming maintenance or repair needs.
• Assist with scheduling mobile service calls and customer-site repairs when appropriate.
• Ensure labor, parts, outside purchases, and other charges are properly captured before invoicing.
• Review completed repair orders for accuracy and completeness.
• Work with customers to resolve service questions or concerns professionally and promptly.
• Maintain organized records of customer visits, estimates, follow-ups, and service opportunities.
• Work closely with dealership leadership to identify opportunities to improve customer service, turnaround time, and department profitability.

Qualifications

• Previous experience in commercial truck, semi-trailer, heavy-duty equipment, fleet maintenance, or automotive service is strongly preferred.
• Service Advisor, Service Writer, Outside Sales, Fleet Maintenance, or similar experience is preferred.
• Working knowledge of semi-trailer components and repair procedures is a major plus.
• Ability to inspect equipment and communicate repair needs clearly to customers and technicians.
• Strong customer service and relationship-building skills.
• Comfortable prospecting for new business and following up with customers.
• Strong organizational skills with the ability to manage multiple repairs, estimates, and customer requests simultaneously.
• Good written and verbal communication skills.
• Basic computer proficiency and ability to learn dealership management software.
• Valid driver's license with an acceptable driving record.
• Ability to travel locally throughout the South Florida market during the workday.

This is not a desk-based Service Writer position. We are looking for someone who is comfortable getting out into the market, meeting customers face-to-face, looking at equipment, finding service opportunities, and then following those jobs through to completion .

The right candidate will be proactive, organized, responsive, and capable of building long-term relationships with fleet customers. Success in this position will be measured not only by how well repairs are processed, but also by the individual's ability to grow service business and improve the overall customer experience .
