Position Summary

The Shipping Specialist serves as the central point of coordination for shipping activities at the San Jose Distribution Center, supporting daily warehouse operations through exceptional communication, administrative support, inventory coordination, and customer service. This role acts as the liaison between warehouse associates, transportation, sales, customers, vendors, and corporate departments to ensure orders are processed accurately, shipments are coordinated efficiently, and operational issues are resolved promptly.

What You'll Do

As the Shipping Specialist, you will help keep daily shipping and warehouse operations running efficiently by coordinating communication, maintaining accurate records, supporting inventory processes, and delivering exceptional customer service.

• Serve as the primary communication hub for the warehouse by managing a high volume of emails, phone calls, and Microsoft Teams communications.
• Monitor shared department inboxes and ensure requests are prioritized, routed, and resolved promptly.
• Coordinate daily communication between warehouse operations, transportation, sales, customer service, purchasing, and corporate departments.
• Respond professionally to customer inquiries regarding orders, deliveries, inventory availability, product pickups, and shipment status.
• Coordinate Will Call orders and assist customers arriving at the warehouse.
• Process customer orders, inventory transactions, transfers, receipts, and shipments accurately within the ERP/Warehouse Management System.
• Prepare and maintain shipping documentation, bills of lading, packing slips, transfer paperwork, and warehouse records.
• Schedule inbound deliveries, outbound shipments, and customer pickups while communicating updates to all stakeholders.
• Research and resolve shipping discrepancies, inventory variances, damaged shipments, and customer concerns.
• Partner with warehouse leadership to support daily operational priorities and workflow coordination.
• Assist with inventory control activities including cycle counts, inventory reconciliations, and physical inventory preparation.
• Generate reports, maintain spreadsheets, and provide operational metrics to warehouse leadership.
• Maintain organized electronic and paper documentation while ensuring data accuracy and compliance.
• Identify opportunities to improve communication, administrative processes, and operational efficiency.
• Maintain a clean, organized, and professional warehouse office environment.
• Assist with additional warehouse administrative and operational duties as assigned.

What You Bring

2+ years of experience in shipping and receiving, logistics, warehouse operations, distribution, or customer service preferred (we're willing to train the right candidate). Previous experience working in a shipping department, warehouse, distribution center, manufacturing, or supply chain environment preferred. Knowledge of freight carriers, LTL and parcel shipping, bills of lading, packing slips, and other shipping documentation preferred.

Excellent written and verbal communication skills with the ability to manage a high volume of emails, phone calls, and customer inquiries professionally. Strong business email etiquette and professional communication skills. Exceptional organizational and time management skills with the ability to prioritize multiple tasks in a fast-paced environment. Experience using Microsoft Outlook, Excel, Word, and Microsoft Teams. Experience with ERP systems, Warehouse Management Systems (WMS), carrier/shipping platforms, or inventory management software preferred. Strong attention to detail with excellent problem-solving and follow-through skills. Ability to work independently while collaborating effectively with warehouse staff, sales teams, transportation partners, customers, vendors, and leadership. Customer-focused mindset with a commitment to delivering exceptional service. Comfortable working in both an office and warehouse environment. Ability to occasionally lift up to 25 pounds and assist with warehouse operational tasks as needed. High school diploma or GED required. Valid driver's license preferred. Bilingual (English/Spanish) is a plus.
