Position Overview
LHH is seeking an experienced Administrative Coordinator to provide high-level administrative and clerical support to our client in near Laguna Woods. This role is responsible for managing complex office functions, coordinating departmental activities, and ensuring efficient day-to-day operations. The ideal candidate is highly organized, detail-oriented, and able to handle sensitive information with professionalism and discretion.
Key Responsibilities
- Provide advanced administrative and clerical support to executive leadership
- Compose correspondence, prepare reports, and manage documentation for departmental activities
- Coordinate communication and workflow between internal departments, external vendors, and stakeholders
- Maintain complex filing systems and accurate records, including personnel changes, schedules, and budgets
- Assist in budget preparation and monitor budget accounts
- Manage calendars, schedule appointments, and coordinate meetings, including preparing agendas and recording minutes
- Screen and direct calls, respond to inquiries, and provide detailed information about programs and services
- Support onboarding and personnel-related administrative processes in coordination with Human Resources
- Coordinate clerical staff and assist with project-based administrative work
- Arrange meeting logistics, including facilities and materials
- Drive to meetings, workshops, or other work-related events as needed
Qualifications
- High school diploma required; additional coursework in business or office administration preferred
- Several years of administrative or clerical experience in a professional office environment
- Ability to manage multiple priorities and meet deadlines in a fast-paced setting
- Strong written and verbal communication skills
- Proficiency with Microsoft Office and general office systems
- Ability to handle confidential information with discretion
- Excellent organizational skills and attention to detail
- Strong interpersonal skills with the ability to work collaboratively across teams
