VIBE Dental is an established, privately owned dental practice seeking an experienced Dental Office Manager to help lead our team, strengthen our systems, and deliver an exceptional patient experience.

We are a growing PPO and fee-for-service practice with 1,000+ patient reviews, a trusted reputation in the community, comprehensive dental services, advanced technology, and a strong commitment to patient care.

This is a hands-on leadership position. We are looking for someone who takes ownership, develops people, solves problems, creates accountability, and works closely with leadership to continually improve the practice.

WHAT YOU'LL DO

Lead Daily Operations

- Oversee smooth day-to-day office operations.

- Lead productive morning huddles and team communication.

- Coordinate effectively between administrative and clinical teams.

- Establish clear priorities and expectations.

- Identify problems early and follow through with solutions.

Optimize the Schedule

- Maintain productive doctor and hygiene schedules.

- Monitor cancellations, no-shows, and schedule openings.

- Improve schedule utilization and patient flow.

- Coordinate with the clinical team for efficient scheduling.

- Maintain organized patient follow-up.

Support Practice Performance

- Monitor key operational and financial KPIs.

- Help oversee collections and patient balances.

- Support insurance verification and claims follow-up.

- Monitor accounts receivable.

- Identify opportunities to improve efficiency and performance.

- Develop action plans and ensure consistent follow-through.

Lead & Develop the Team

- Train, coach, and support team members.

- Establish clear performance expectations.

- Provide respectful, constructive feedback.

- Recognize and address issues proactively.

- Build a culture of teamwork, accountability, positivity, and continuous improvement.

Deliver an Exceptional Patient Experience

- Help patients feel welcomed, respected, and cared for.

- Handle concerns calmly and professionally.

- Resolve issues before they become larger problems.

- Maintain strong communication throughout the patient journey.

- Help ensure every patient receives a consistent VIBE experience.

WHAT WE'RE LOOKING FOR

Previous dental front-office experience is required. Dental office management, assistant management, or team-lead experience is strongly preferred.

Experience in the following areas is valuable:

- Dental office operations.

- PPO insurance.

- Scheduling and schedule optimization.

- Treatment coordination.

- Patient financial arrangements.

- Collections and accounts receivable.

- Team leadership and accountability.

- Patient communication and conflict resolution.

- Tracking and improving practice performance.

Experience with Dentrix, Oryx, or similar dental practice-management systems is a plus.

Spanish-speaking ability is a plus but not required.

SCHEDULE

This is a full-time, in-person position.

Please include your consistent weekly availability, including any weekend availability.
