Summary:

Reporting to the Outreach Manager, the Associate Youth Programs Coordinator plans and coordinates Gallaudet’s year-round youth and summer programs, managing operational details and serving as the primary point of contact for campers, families, instructors, and staff.

Job Description:

• Coordinates the day-to-day planning and delivery of summer programs/camps, tracking tasks against the annual summer program calendar and flagging delays or gaps to the team.
• Coordinates camper registration and data through Slate and other university systems, ensuring registration forms, medical release forms, and waivers are current, accurate, and complete.
• Coordinates housing and dorm logistics with Residence Life, including room assignments, housing charts, check-in/check-out schedules, and bulletin board and signage setup.
• Compiles and maintains camper medical information, including medication authorizations, allergies, dietary restrictions, insurance information, and activity restrictions, and coordinates with health services and camp nursing team to keep records current.
• Coordinates transportation logistics for arrival/departure days and field trips, including transportation forms, vehicle reservations, and driver authorizations.
• Supports recruitment, interviewing, and onboarding of camp counselors and student workers, including background checks and payroll processing.
• Assists in developing and delivering training and orientation, including CPR/First Aid coordination, Title IX training scheduling, employment handbooks, and orientation materials.
• Coordinates procurement of camp materials, supplies, equipment, and promotional items, and manages vendor relationships (e.g., catering, transportation, and activity vendors) to support camp delivery.
• Tracks program-level camp expenditures and maintains accurate records, providing regular budget updates.
• Coordinates with campus units involved in camp delivery, including Housing, Dining Services, Department of Public Safety, and Information Technology, to resolve logistical issues at the program level.
• Maintains an active and on-brand social media presence for summer programs, developing and posting camp-related content in coordination with assigned staff or student workers.
• Develops camp, visual, and daily staff schedules, updating them as needed throughout each session.
• Serves as a responsive point of contact for campers, families, instructors, and camp staff, addressing day-to-day questions and concerns.
• Documents camp processes, timelines, and lessons learned to support planning and continuity for future summers.
• Provides support to other Youth Programs competitions (e.g., Academic Bowl, Battle of the Books, National Literary Competition) as needed, particularly during peak planning periods.
• Establishes and maintains a positive and supportive working relationship with co-workers and supervisors.
• Demonstrates a genuine commitment to belonging in the workplace and participates in activities and workshops to foster continuous learning.
• Serves as a mandatory reporter under Title IX; and commits to completing Title IX training and other compliance requirements on an annual basis.
• Prioritizes safety in the workplace as a collective responsibility for the well-being of employees and fosters a culture of safety that is integral to our success, including strict adherence to safety procedures and protocols, as well as promptly reporting any safety hazards or incidents.
• Performs related and other duties as needed.

Required Qualifications:

• Bachelor's degree.

• A minimum of two years of experience with student services, recruitment and outreach, or a related field (college student work and/or internship experience will be considered).
• Ability to communicate in American Sign Language.

Preferred Qualifications:

• Experience working in a K-12 or higher education setting.

• Strong ability to organize, communicate, present, and negotiate effectively.
• Strong ability to understand and communicate University programs and services.
• Demonstrated experience using data management systems for tracking and reporting.

Additional Position Details:

• This a gift-funded position.
• This is a one-year extended temporary position with certain benefits including health insurance, paid vacation and sick time, and paid holidays.
• The extended temporary appointment may be renewed for another year or has an opportunity to convert to regular status with full benefits.
• If the successful candidate possesses three years of required professional experience, they may be hired as “Youth Programs Coordinator” at the compensation grade of A2.
• The incumbent must be able to travel or work on weekends as needed.
