Staffing Coordinator DayLocation: 8767 Wilshire Blvd, Beverly Hills, CA Schedule: 8 hours between and 1 weekend day per month. Required Qualifications: • HSD/GED • Experience with EPIC or FAST • 1 year of recent experience working in an outpatient clinic or medical office setting • Ability to read, understand, and respond to detailed oral and written instructions Preferred Qualifications: • 2+ years’ recent experience in large-scale staff and physician scheduling • Certification in healthcare administration or scheduling • Understanding of medical terminology • Experience with UKG Primary Duties and Responsibilities: • Develop and maintain comprehensive staff and provider schedules, ensuring appropriate coverage for all clinic shifts. • Enter, update, and adjust schedules in UKG (Kronos) to reflect real-time staffing changes. • Monitor staffing levels and address last-minute changes (illnesses, emergencies, or volume changes) promptly. • Ensure all scheduling complies with policies, labor laws, and departmental guidelines. • Publish schedules on a regular cycle and communicate changes clearly and in advance. • Coordinate weekend and holiday staffing, implementing fair rotating schedules and ensuring adequate coverage. • Receive and process time-off requests, verifying eligibility and obtaining necessary approvals. • Update schedules to reflect approved time off and arrange coverage as needed. • Track attendance and availability, reporting concerns to management as appropriate. • Collaborate with HR and Payroll to reconcile schedules with recorded time off. • Perform routine audits of schedules to verify accuracy and compliance with regulations. • Monitor adherence to work-hour limits, overtime rules, and departmental policies. • Prepare and present staffing reports using UKG, Excel, or Tableau to inform leadership decisions. • Recommend process improvements based on audit findings and operational feedback.
