Executive Coordinator to the Artistic Director

Executive Coordinator to the Artistic Director Arena Stage is searching for an Executive Coordinator to support our Artistic Director. This full‑time exempt position reports directly to the Artistic Director and sits in the Executive Office. Position based in Washington, DC. Key Responsibilities Executive Office Support: Maintain the Artistic Director’s calendar, coordinate scheduling across departments, board committees, partners and community stakeholders, manage correspondence, draft and edit communications, coordinate domestic and international travel, manage expense reports, and handle ticket requests. Board of Trustees Relations: Support cultivation and stewardship of Board member relationships, schedule meetings, coordinate recognition and correspondence, track engagement, and co‑ordinate Board events and receptions. Leadership Meetings & Internal Coordination: Plan and support regular leadership and cross‑departmental meetings, take clear meeting notes, track decisions, ensure smooth communication between the Artistic Director’s office and all departments, and assist the Chief of Staff on special projects. External Partner & Stakeholder Coordination: Coordinate logistics for meetings with external partners, schedule and prepare for meetings with artists, agents and industry colleagues, support briefings for meetings, speaking engagements and events, and represent the Artistic Director’s office professionally. Qualifications Required: 3–4 years of administrative or coordination experience in a non‑profit organization, regional theater, or performing arts institution. Required: Demonstrated experience supporting senior leadership, including complex calendar management, correspondence, and meeting facilitation. Required: Exceptional written and verbal communication skills, drafting clear, polished materials for a variety of audiences. Required: Strong organizational skills and meticulous attention to detail, managing multiple priorities under deadline. Required: Discretion and sound judgment when handling sensitive or confidential information. Required: Proficiency with standard office software (Google Workspace, Microsoft Office) and scheduling tools. Required: A genuine passion for theater and a commitment to Arena Stage’s artistic and civic mission. Preferred: Familiarity with regional theater operations, non‑profit governance structures, government administration, or board relations. Preferred: Background or coursework in arts administration, theater management, nonprofit leadership, or civic administration. #J-18808-Ljbffr
