This is a hands-on, high-trust position supporting Chief Visionary Officer & CEO, Jenn Zella. You must fully own the Executive Assistant seat while bringing a proactive, discerning mindset to protect create calm, structure, and forward movement across Jenn’s day-to-day world. ABOUT THE CEO Jenn Zella is a visionary, highly creative, and entrepreneurial leader deeply engaged in CID’s strategic direction, design work, and client relationships. She is high-energy and fast-moving, and she values clear, respectful, and succinct communication. She works best with those who brings calm energy, emotional steadiness, adaptability, warmth, and a genuine desire to make life easier for the people around them. Her free-spirited creativity means she often loses track of time, so this role requires a calm, confident presence that keeps her on schedule while allowing her to operate in her creative and strategic genius zone without adding stress. This role requires strong judgment, emotional intelligence, discretion, flexibility, and follow-through. You will also support co-founder Barb Zella approximately 10% of the time, primarily with special projects, some scheduling, and serving as a conduit between Jenn and Barb. Support for leadership team logistics and meetings will also be needed. WHAT YOU'LL DO EXECUTIVE SUPPORT & PRIORITY MANAGEMENT Own a complex and ever-evolving calendar, ensuring high-priority work is protected and aligned with business objectives. Manage scheduling with a discerning eye, ensuring each meeting has purpose, value, and an agenda. Prepare Jenn before meetings with relevant briefs, research, context, and key talking points. Maintain systems, documentation, and reliable processes that reduce friction and increase speed. Manage expense reports, professional licensing renewals, and other administrative tasks in collaboration with CID’s CFO. Anticipate risks and proactively solve problems before they arise. COMMUNICATION AND RELATIONSHIP SUPPORT Support high-quality written and verbal communication with a professional, warm and caring tone. Manage Jenn’s email flow, prioritizing and filtering messages with discretion and excellent judgment. Research clients, partners, and meeting context as needed so Jenn walks in informed and prepared. Support high-touch stakeholder interactions (clients, partners, vendors, internal leaders), ensuring follow-through and a strong experience. TRAVEL & LOGISTICS MANAGEMENT Manage end-to-end travel logistics: flights, hotels, cars, itineraries, restaurant reservations, and emergency troubleshooting. Select design-forward accommodations aligned with CID’s hospitality aesthetic and brand. PROJECT SUPPORT & EXECUTION Track and advance key initiatives, ensuring follow-through on deadlines, decisions, and next steps. Roll up your sleeves on practical work when needed—examples may include spreadsheet clean-up, confirming addresses, coordinating shipping details, compiling lists, and supporting collaborative projects (including seasonal or marketing-related efforts). Work closely with Jenn’s other support professionals; success in this role requires collaboration, humility, and a “team-first” mindset. Partner with the Culture & Events Team on internal company experiences and events. WHO WILL SUCCEED IN THIS ROLE Values-first, inherently positive, and high character. Someone who struggles to collaborate closely with other support professionals and internal teams. REQUIREMENTS + COMPENSATION & BENEFITS 3+ years of Executive Assistant experience. Tech-savvy and AI-forward. Experience with Microsoft Office, Bluebeam, Salesforce, and AI-powered tools is a plus. Familiarity with EOS (Entrepreneurial Operating System) is a strong bonus. $90,000–$99,000 based on experience. Company provided technology & tools.
