Job Number Version: HOT0CK4V Work Locations Hotel del Coronado, Curio Collection by Hilton, 1500 Orange Avenue, Coronado 92118 Overview Hotel del Coronado is a historic 28‑acre property located on Coronado Island, just minutes from downtown San Diego. The resort opened in 1888 and has over 750 rooms, including cottages and villas, along with 65,000 square feet of banquet space and 10 food and beverage outlets. We are seeking a Sales Coordinator to join our Sales and Events team to support directors, sales managers, and office staff with sales and service related tasks. Classification Full‑time – Business hours, Monday through Friday with occasional weekends or holidays as needed. Pay rate $24 per hour. Responsibilities Provide assistance and support to directors, sales managers, and the office manager in coordinating and disbursing information related to sales and service. Initiate preparation of proposals and contracts, including revenue calculation sheets, correspondence, internal forms, schedule of events, and histories. Copy and distribute internal/external letters, forms, bookings, contracts, resumes, schedules, and mail. Answer telephone calls and assist internal and external guests; respond to email correspondence directed by managers. Provide backup assistance to Lead Coordinator and support meeting broker systems (Cvent, Simpleview, Starcite) and other lead sources. Assist Site Experience Coordinator with VIP room, amenity, transportation, dining, spa, and recreation reservations. Assist Sales Managers with site inspections for potential customers and bring them to guest rooms, meeting space, banquet facilities, and other hotel facilities. Prepare and process purchase orders and check requests. Primary Responsibilities VIP travel agency and wholesale bookings – coordinate daily VIP arrival reports, generate personalized welcome letters, maintain voucher and guest arrival logs, and work with Reservations and Front Desk to ensure VIP status. Business travel – assist in solicitation and maintenance of business travel accounts, partner with local accounts, maintain rates and contract status. FAMs and site inspections – assist in development of FAM/site programs, prepare site inspection forms for VIP clients. Trade shows and travel – maintain presentation and trade show materials and ship documents related to travel industry road trips and trade shows. Wholesale – process yearly wholesale contracts, update partner websites, send wholesale rate adjustments. MISCELLANEOUS – process gift cards for promotional events, maintain travel agent database, send email updates after sales calls, keep GA log, conduct individual site inspection property tours for agents and wholesalers, develop relationships with accounts outside preferred consortium. Secondary Responsibilities / Additional Functions‑Tasks Multi‑task and prioritize varied responsibilities from different channels. Strong attention to detail. Assist Director of Travel Industry Sales in planning travel industry sales call itineraries. Correspond and follow up with travel agents and wholesalers regularly. Assist in development of packages and promotions targeted to travel agents and wholesalers. Keep up‑to‑date on local and national travel trends and adapt to marketplace changes.
