The Facilities Coordinator supports the day-to-day operations of our Santa Monica office, helping to ensure a high-functioning, well-maintained, and client-ready workplace. This is a hands-on role requiring strong organization, responsiveness, and the ability to manage multiple priorities in a fast-paced environment.
Essential Functions
- Manage printing, binding, and production requests while maintaining equipment and ensuring quality standards
- Handle incoming and outgoing mail, shipping, and package distribution
- Maintain overall office cleanliness, organization, and readiness across workspaces, conference rooms, and common areas
- Restock pantry, copy stations, and office supplies; monitor inventory and reorder on a weekly basis
- Assist with workstation setups and troubleshoot general office equipment issues
- Perform light maintenance tasks and support office moves or installations
- Coordinate vendor services and maintain strong vendor and building staff relationships
- Support internal and client-facing events including setup and breakdown
- Provide coverage across standard operating hours to ensure consistent office support
- Partner with Facilities and Office Coordinator team members to ensure seamless coverage and communication throughout the day
- Prioritize urgent requests and maintain clear handoffs between shifts
- Independently manage routine operational issues
- Escalate complex or urgent issues to the Facilities Manager, including building systems, equipment failures, vendor issues, or safety concerns
- Communicate updates clearly and ensure timely follow-through on escalated items
Experience, Skills and Competencies Required
- 2+ years of experience printing and shipping
- Ability to lift and carry items up to 25 pounds as needed
- Strong communication and interpersonal skills
- Strong time management skills, organizational skills, work ethic, initiative, sense of urgency, and attention to detail
- Self-motivated with the ability to manage multiple tasks and effectively meet deadlines
- Workstation setup including all user peripherals
- Advanced knowledge of facilities machines and equipment
- Basic Proficiency in all areas of MS Office and related work tools
