Loan Operations Specialist

The Loan Operations Specialist provides operational and administrative support for the Business Lending and Loan Operations teams and is responsible for the accurate processing of business loan transactions, maintaining loan documentation, resolving account discrepancies, and ensuring loan files are complete and compliant. This position is primarily internally focused, supporting the Loan Operations Analyst and Business Lending team through back-office administration rather than direct member interaction.Essential Functions & Responsibilities:Processes business loan payments, payoffs, and adjustments accurately and timely.Handles paid-out loan processing, including system updates and documentation.Ensures proper allocation and reconciliation of loan transactions.Conduct research on business loan accounts to resolve discrepancies and variances. Investigate payment issues, account history, transaction activities and partners with internal teams to resolve operational issues.Identifies, tracks, and clears loan exceptions (missing documentation, discrepancies, etc.).Scans, uploads, and indexes business loan documents into Abrigo while ensuring all business loan files meet internal standards and compliance requirements. Follows-up on outstanding items to maintain file completeness.Performs file maintenance, updates, and quality control reviews while maintaining accurate and organized electronic loan files.Retrieves and provides documentation upon request (e.g., titles, loan documents, agreements).Opens, reviews, and distributes all incoming Business Lending mail. Processes incoming documents, payments, and correspondence while ensuring timely routing and documentation of all received items.Supports the Loan Operations Analyst with reporting, tracking, and workflow tasks.Assists with audits, exams, and internal reviews by gathering documentation as requested.Contributes to process improvements and operational efficiency initiatives set forth by the Business Lending and Loan Operations departments.Performs other duties as assigned.Experience: One year to three years of similar or related experience.Education: A high school education or GED.Interpersonal Skills: Work involves much personal contact with others inside and/or outside the organization for the purpose of first-level conflict resolution, building relationships, and soliciting cooperation. Discussions involve a higher degree of confidentiality and discretion, requiring diplomacy and tact in communication.Other Skills: Strong technical and operational skills, including the ability to accurately process loan transactions, perform account research, and manage loan documentation. The ideal candidate demonstrates understanding of loan servicing systems and document management platforms (such as Abrigo), with a high level of attention to detail and data accuracy. This position also requires the ability to manage multiple workflows, maintain organized records, and ensure compliance with internal procedures and regulatory requirements.Physical Requirements: The employee is regularly required to sit, use hands to finger, handle, or feel, reach with hands and arms, talk and hear. The employee is occasionally required to stand, walk, climb, or balance, stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to ten (10) pounds.
