A&M Roofing and Gutters is looking for a reliable, organized, and professional Secretary / Office Assistant to help manage daily office operations. This position plays an important role in supporting customers, scheduling appointments, communicating with crews, organizing paperwork, and helping keep projects moving smoothly from the first phone call through completion.

The ideal candidate is friendly, detail-oriented, comfortable speaking with customers, and able to handle multiple tasks in a busy roofing and gutter office environment.

Key Responsibilities

  • Answer incoming phone calls, emails, and customer inquiries in a professional manner
  • Schedule roof inspections, estimates, repairs, and project appointments
  • Communicate with homeowners, property managers, vendors, and crew members
  • Prepare, organize, and file customer documents, contracts, invoices, permits, and job paperwork
  • Assist with creating and sending estimates, proposals, and customer follow-ups
  • Maintain the company calendar and help coordinate project start dates
  • Track job progress and help update customers as needed
  • Collect customer information and enter details accurately into company systems
  • Assist with ordering materials, coordinating deliveries, and communicating with suppliers
  • Support billing, payment tracking, and basic office bookkeeping tasks
  • Help maintain a clean, organized, and professional office environment
  • Perform general administrative duties as assigned

Qualifications

  • Previous office, receptionist, secretary, or administrative experience preferred
  • Strong communication and customer service skills
  • Organized and able to multitask in a fast-paced environment
  • Comfortable using computers, email, calendars, and basic office software
  • Good phone etiquette and professional attitude
  • Attention to detail and accuracy with paperwork and scheduling
  • Ability to work independently and as part of a team
  • Bilingual English/Spanish is a plus, but not required
  • Experience in construction, roofing, gutters, or home services is a plus

Work Environment
