JOB DESCRIPTION: POSITION: Office & Rentals Manager REPORTS TO: Executive Director HOURS: Full-time, hourly $18 /hour Tues. - Sat. 9am -5:30pm, occasional evenings depending on Rental Schedule. BENEFITS: Paid Time Off and 10 Paid Holidays. SUMMARY: The Office & Rentals Manager provides direct support to the Executive Director and general support to the entire staff. Key responsibilities include office support, customer service, maintaining company files and archives, managing NACC’s rental spaces for long-term art studio space rentals, gallery exhibits, theater productions, presentations, rehearsals, meetings, and events and other duties as requested. The position requires the ability to manage multiple projects, anticipate the needs of and make effective connections among various stakeholders, create pathways and processes for others to follow, and meet deadlines. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Serve as the main point of contact for incoming calls, online inquiries and emails to the NACC, responding in a professional, courteous and timely manner. Greet, assist and direct visitors at the main entrance. Arrange for staff meetings and facilitate staff communication and coordination. Maintain Google Suite files for staff, distribution lists, calendars, shared folders and files, or other comparable system/program. Coordinate office facilities, manage phone system and equipment needs. Maintain supplies on a regular inventory schedule and interface with vendors. Receive and sort incoming mail and deliveries and manage outgoing mail. Coordinate mailings and other communication as needed to tenants, members, and donors. Support bookkeeping and budgeting procedures as needed. Assist in maintaining member and donor records. Contribute to a welcoming, respectful, and inclusive working environment. Maintain archives of printed materials and news. Provide support and communication for work partners. General promotion and management of all Studio, Gallery, Theatre, & Rehearsal Space Rentals including site visits, rental agreements, and coordination of on-site logistics. Ensure proactive and two‑way communication between tenants and the NACC to ensure compliance with policies and procedures. Participate in the Tenants and Artists Committee including communications, agenda planning, and meeting facilitation. Manage communication and ongoing relationships with both long and short‑term facility users. In conjunction with finance staff, manage invoices and payments of long and short‑term rentals. Other duties as assigned. REQUIRED QUALIFICATIONS: High school diploma or GED required. High level computer skills, including Google Suite, Microsoft systems. Ability to manage multiple projects while maintaining a high level of accuracy and timeliness. High level ownership of projects, including anticipating the needs of stakeholders and creating clear pathways and processes for others to follow. Excellent written and verbal communication. Integrity, discretion, and confidentiality. Readiness to work in an environment that values and includes diverse group identities. COMMUNICATION: Internal: A high level of communication is required with other NACC employees, volunteers, and the Executive Director to exchange job‑related information. Employee will also work with Board committees to exchange NACC‑related information. External: A high level of communication is required with NACC tenants and artists, vendors, contractors, public space clients, and the general public. PHYSICAL DEMANDS & WORK ENVIRONMENT: Work is to be performed onsite during NACC’s hours of operations, which may include evenings and weekends. The NACC is open to the public Tuesday through Saturday from 10am - 5pm. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear. The employee is required to walk; stand; and stoop, kneel or crouch. The employee must occasionally lift and/or move up to 40 pounds. Because the NACC is housed in a 180,000 sq. ft. building occupying a city block, there is a significant amount of walking, stairs and ramps that must be traversed.
