The Role

We're looking for a Project Accounting Coordinator to join our team and support the financial success of our projects from startup through closeout. In this role, you'll work closely with Project Managers, Operations, and Accounting to set up projects, manage funding and budgets, support client billing, and help ensure project financial data remains accurate throughout the project lifecycle.

This is a great opportunity for someone who enjoys working with both people and numbers, has strong attention to detail, and thrives in a fast-paced, project-driven environment. Experience in a professional services setting such as engineering, consulting, architecture, construction management, utilities, or government contracting is highly preferred.

What Your Day Will Look Like

Project Accounting & Financial Management

• Set up new projects in Deltek Vantagepoint based on contract terms, purchase orders, funding authorizations, and company standards
• Maintain project structures, billing terms, labor categories, funding limits, and rate schedules. 
• Track purchase orders, change orders, and project modifications.
• Monitor project funding utilization and identify potential over-budget or funding limitation concerns. 
• Review unbilled (WIP) balances and investigate billing delays or project expectations. 
• Partner with Project Managers to support project financial performance and identify risks related to scope, funding, and project budgets.
• Maintain audit-ready project documentation and support project closeout activities.
• Assist with financial reporting and project-related analysis. 

Client Billing & Revenue Support

• Prepare and issue client invoices in accordance with contract requirements and billing schedules. 
• Review project activity and billing support documentation prior to invoice generation.
• Submit invoices through client portals and ensure client invoicing issues.
• Coordinate with Project Managers and Accounting team members to support accurate and timely billing.
• Assist with collection efforts by researching invoice and project related questions. 

What You'll Bring to the Familia:

Essentials to Succeed:

• 1+ years of experience in project accounting, project billing, contract administration, project controls, project finance, or related function. 
• Experience support project-based organizations such as engineering, consulting, architecture, utilities, construction management, or professional services firms.
• Strong Microsoft Excel skills. 
• Experience interpreting contracts, purchase orders, billing terms, and client requirements.
• Strong attention to detail and organizational skills.
• Excellent written and verbal communication skills. 
• Ability to management multiple priorities and work effectively in a fast-paced environment.
• Resourceful problem solving skills and continuous learning mindset.  

What Will Make You Stand Out:

• Experience with Deltek Vantagepoint, Deltek Vision, Ajera, BST, Oracle Projects, or similar project accounting software.
• Experience supporting engineering, utility, consulting, architecture, or construction projects,
• Understanding of key project accounting and financial management principles, including WIP management, revenue recognition, project funding, contract administration, and change order management in a project-based environment. 
• Experience partnering directly with Project Managers and operational leaders.
• Experience tracking project budgets, burn rates, and project financial performance.
