Every detail. Every time. About the Role We're looking for a warm, organized, and professional Legal Receptionist to be the first point of contact for clients, guests, and business partners. This role is essential in creating an exceptional first impression while keeping the front office running efficiently. The ideal candidate thrives in a fast-paced environment, enjoys helping people, communicates professionally, and can juggle multiple responsibilities with a positive attitude. You'll support our legal team by managing incoming calls, greeting visitors, coordinating office operations, and assisting with administrative tasks that help our attorneys and staff deliver outstanding client service. Responsibilities: • Give every employee, client, and visitor a warm welcome at the front desk and communicate any important information or directions • Respond to incoming phone calls and emails and make sure the right people receive all important information • Assure incoming and outgoing mail is managed appropriately and handle deliveries What You'll Do • Welcome clients, guests, and vendors with professionalism and hospitality. • Answer and direct incoming phone calls using a multi-line phone system. • Schedule appointments and coordinate conference room availability. • Receive, sort, and distribute incoming mail and deliveries. • Prepare outgoing mail, certified mail, FedEx, and courier packages. • Maintain a clean, organized, and professional reception area. • Assist with client check-in and notify staff of arriving appointments. • Scan, copy, print, and organize documents as requested. • Enter and update information in the Filevine case management system. • Order and maintain office supplies and coordinate with vendors. • Support attorneys, case managers, and other departments with administrative projects. • Maintain confidentiality of client information. • Provide exceptional customer service. • Other duties as assigned. Qualifications: • Well-versed in taking telephone calls and handling stressful situations • Possesses strong customer service skills, interpersonal skills, organizational skills, and time management skills • Exhibits working knowledge of Microsoft Office and basic computer skills • High school graduate, G.E.D. recipient, or equivalent What We're Looking For • 2+ years of receptionist, administrative assistant, or customer service experience. • Experience in a law firm or professional office preferred. • Outstanding verbal and written communication skills. • Friendly, professional, and compassionate demeanor. • Strong organizational skills. • Excellent attention to detail. • Proficiency with Microsoft Office Suite. • Experience with Filevine is a plus. • Ability to remain calm in a fast-paced environment. • Reliable, punctual, and team-oriented. Bonus Points If You Have • Experience working in a personal injury law firm. • Bilingual (English/Spanish). • Experience handling high-volume phone systems. • Customer service or hospitality experience. Compensation: $16.50 - $20 hourly
