Job Summary

The Mary Parrish Center (MPC) is a nonprofit human service organization dedicated to providing transitional housing, rapid rehousing, and coordinated entry for survivors of domestic violence, dating violence, sexual assault, stalking or human trafficking. Our mission is to provide survivors of interpersonal violence and their children safe, accessible and compassionate housing with individualized care that promotes healing, autonomy and hope.

The MPC seeks a highly organized and proactive individual to fill its Operations Manager position. This role is critical to keeping our daily systems, financial workflows, and facilities running smoothly so our team can focus on the mission. The ideal candidate is an administrative and operations professional who excels at multi-tasking, problem-solving, and coordination, and is looking for a job with deep purpose and meaning. This is a full-time, exempt position, reporting directly to the Executive Director.

Job Responsibilities

Operational & Administrative Leadership

• Keep the daily office operations running smoothly by setting up and managing efficient systems and administrative processes.
• Serve as the main point of contact for vendors and subcontractors, and take the lead on negotiating service contracts.
• Supervise the front office environment, ensuring a warm, professional, and compassionate welcome for residents, onsite visitors, callers, and vendors.
• Act as the lead for handling incoming phone calls, and work alongside the team to respond to crisis calls by providing resource information, referrals, and support.
• Provide executive assistant support to the Executive Director, helping manage high-priority administrative needs and special organizational projects.

Financial Administration

• Manage day-to-day bookkeeping tasks, including processing Accounts Payable (A/P), managing Accounts Receivable (A/R), tracking expenditures, and making bank deposits.
• Support grant management by pulling financial data, compiling backup documentation, and preparing monthly or quarterly grant invoices.
• Partner closely with our contract external bookkeeper, handling the daily data entry and paperwork so she can manage monthly reconciliations, financial reports, and annual audit prep.
• Track, log, and acknowledge all in-kind donations using Kindful (CRM) and QuickBooks.
• Keep organization-wide financial and operational records highly accurate and organized.

Facilities & Property Management

• Oversee the day-to-day facility operations, routine maintenance, and upkeep for the 10-unit transitional housing property and the onsite staff offices.
• Lead project management for property improvements, including gathering bids, vetting contractors, and keeping renovations on schedule.
• Handle routine property inspections, spot maintenance issues early, and coordinate with service providers (like plumbing, HVAC, pest control, and lawn care) to get repairs done quickly.
• Welcome new transitional housing residents by leading their apartment and property orientation.

Volunteer Operations

• Manage volunteers, including coordinating the yearly schedule, sending thank you letters, and organizing appreciation events.

Qualifications

• Bachelor’s Degree preferred (or equivalent operational experience).
• Minimum of 3–5 years of success in a similar or related operations or office management position.
• Ease with technology, including professional proficiency in QuickBooks and the Microsoft Office Suite.
• Demonstrated experience coordinating property or facility maintenance preferred.
• Excellent organizational, communication, and interpersonal skills.
• Must possess a valid TN driver’s license and maintain a satisfactory driving record.
