HR Admin – I-9 Compliance Project Location: Pasadena, CA – Fully Onsite Schedule: Monday–Thursday, 8:00 AM – 5:00 PM (32 hours per week) Pay: $23-$25/hour Type: Temporary, approximately 1 month project Overview We are looking for a detail-oriented HR Admin to support a large-scale I-9 audit and correction project for a well-known national restaurant brand. This is a focused, heads-down role where your primary responsibility will be reviewing, correcting, and tracking I-9 documentation across a high volume of employee records. If you have a sharp eye for detail, know your way around an I-9, and are comfortable following up persistently to get things done, we want to hear from you. Key Responsibilities Review I-9 forms for errors, including missing information, incorrect fields, and improperly completed sections Follow up with restaurant managers to obtain missing information and ensure timely corrections Coordinate with employees to correct Section 1 errors and collect required documents Print, scan, and physically handle corrected I-9 documents Provide compliant guidance to managers and employees while maintaining strict confidentiality Track and maintain accurate audit logs throughout the project Escalate unresolved or high-risk compliance issues to the appropriate HR leadership Ideal Candidate I-9 experience is a must Extremely detail oriented with a high level of accuracy Comfortable following up with managers and holding people accountable without being confrontational Trustworthy and discreet when handling confidential employee information Self-sufficient and not reliant on heavy direction to get work done Laid back, easy to work with, and collaborative team player Requirements I-9 experience required HRIS experience a plus (any system) No degree required, relevant experience will be considered Comfortable with printing, scanning, and high-volume document handling Vaco by Highspring values a diverse workplace and strongly encourages women, people of color, LGBTQ+ individuals, people with disabilities, members of ethnic minorities, foreign-born residents, and veterans to apply.
