Executive Assistant

Financial Advisor (FA) Assistant

Ashford Advisors: Ridgeland, MS

Purpose:

The FA Assistant role is to support the daily operations of the FA . The assistant is expected to consult and coordinate with the FA on all aspects of their activities and responsibilities.

Critical factors of success for the assistant include:

· The FA Assistant is extremely trustworthy as they will handle confidential information

· A “can-do” mindset

· The FA Assistant maintains a high level of professionalism and makes building solid business relationships a priority

Major Responsibilities

· Schedule appointments including initial meeting, assist with follow up, and set next meeting

· Manage and protect the FA’s calendar

o Draft email correspondence

o Hold advisor accountable to their schedule

· Manage Policy Owner service requests

· Search LinkedIn for client and recruit opportunities

· Manage Customer Relationship Management platform

· Prepare for client meetings, including creating presentations and taking notes

· Manage FA’s license renewals and continuing education requirements

· Manage FA’s pipelines

o Individual and Business Planning

o Marketing campaigns

o Recruiting

Investment New Business

· Log checks & transmittals

· File paperwork & investment forms

· Maintain files & records

· Schedule client’s annual review

· Complete action items in securities software

Insurance New Business

· Assist FA with new client applications

· Maintain FA’s files and records securely

· Follow up on outstanding requirements

Education/Experience

· College or business school degree preferred

· Insurance industry experience a plus

· Industry licensing a plus

Knowledge, Professional Skills & Abilities

· Professional presence and ability to interact with high profile clients and executives

· Ability to multi-task and keep good time management in a fast-paced environment

· Tact, good judgment, and the ability to communicate effectively both verbally and in writing

· Must be able to keep sensitive information confidential

· Passionate about helping people

· Computer skills – Microsoft Business Suite and Zoom

· Exemplary organizational skills, including planning, and prioritizing
