Office & Mailroom Administrator
We are seeking a proactive and organized Office & Mailroom Administrator to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role involves managing mail and package logistics, coordinating office supplies, and assisting with administrative tasks that keep our workplace efficient and welcoming. The ideal candidate will demonstrate excellent communication skills, strong organizational abilities, and a positive attitude to foster a productive office atmosphere. Mailroom Responsibilities
- Receive, stamp, open, sort, and review incoming mail to determine proper departmental routing.
- Copy, log, scan, and distribute mail in accordance with internal procedures and CMS requirements.
- Manage high volumes of received and returned mail while maintaining accuracy and turnaround times.
- Support daily mailroom and fulfillment operations for a fast-growing Medicare Advantage organization with a high-volume member population.
- Help improve efficiency, reduce operational bottlenecks, and ensure compliance with CMS mailing requirements.
Fulfillment Responsibilities
- Prepare and fulfill member materials, including provider directories, OTC catalogs, ID cards, and Welcome Kits.
- Process fulfillment requests from Member Services and OTC Call Center teams.
- Manually create shipping labels for UPS and USPS mailings.
- Ensure all outgoing materials meet CMS-required deadlines and compliance standards.
Administrative and Coverage Support
- Coordinate with internal teams and external vendors, including systems requiring multiple credentials.
- Serve as backup for mailroom, fulfillment, ID card, and Welcome Kit processes during vacations or absences.
- Provide front desk coverage during lunch breaks and as needed.
- Maintain accurate, organized, and confidential records.
- Assist with audits, reporting, and documentation related to mail and fulfillment activities.
Qualifications & Skills
- High school diploma or equivalent required.
- Previous clerical, mailroom, fulfillment, or administrative experience preferred.
- Proficiency in Microsoft Outlook required.
- Strong communication, customer service, and interpersonal skills with the ability to interact professionally with members, vendors, and internal teams.
- Strong attention to detail and ability to manage repetitive, high-volume tasks.
- Reliable, responsible, and dependable with a strong work ethic.
- Ability to meet deadlines in a compliance-driven environment.
- Fully bilingual (English/Spanish) required.
- Ability to maintain confidentiality and handle sensitive information appropriately.
