We are looking for a detail-oriented Accounting Administration specialist to support daily office, accounting, and warehouse administrative operations in Cincinnati, Ohio. This Long-term Contract position is ideal for someone who enjoys balancing financial tasks, front-office coordination, and compliance-related support within a wholesale distribution environment. The role will contribute to accurate recordkeeping, smooth facility operations, and consistent service for internal teams, visitors, and tenants.
Responsibilities:• Support account balancing activities by helping prepare and review routine reconciliations for financial records.
• Maintain office and operational supply levels by tracking inventory, arranging purchases, and coordinating distribution to designated teams.
• Provide front-desk and administrative assistance by responding to phone inquiries, greeting visitors, and directing requests appropriately.
• Help coordinate tenant service needs by logging repair issues and following up on maintenance-related requests.
• Record incoming payments and deposits accurately to support day-to-day accounting controls and documentation.
• Organize and track recurring facility and safety inspections, including maintaining records for fire, security, and health-related reviews.
• Prepare and issue purchase orders for maintenance work and related operational needs.
• Enter and update inventory, accounting, and administrative information in company systems with a high level of accuracy.
• Train to support food safety coordination duties, including assisting with scheduled weekly, monthly, and annual inspection activities.
• Help uphold compliance standards by monitoring administrative requirements and supporting documentation for operational policies.• At least 1 year of experience in accounting support, office administration, or a related clerical role.
• Working knowledge of Accounts Payable, Accounts Receivable, invoice processing, and daily reconciliation activities.
• Experience using QuickBooks or similar accounting software to manage transactions and maintain records.
• Strong data entry skills with close attention to accuracy, organization, and follow-through.
• Ability to communicate professionally with customers, tenants, visitors, and internal staff.
• Comfortable handling multiple responsibilities across accounting, office support, and warehouse administration.
• Familiarity with food safety procedures or compliance-related documentation is preferred.
• Proficiency with basic office systems and the ability to learn company-specific processes quickly.
