Job Title: Facilities Coordinator

Location: East Syracuse, NY

Salary: $45,760 - $60,000 (commensurate with experience)

We are looking for a highly organized, proactive Facilities Coordinator to join our team and help ensure the efficient operation and maintenance of our properties. This role will be integral in supporting the company’s growth and the overall success of our facilities.

Position Summary:

The Facilities Coordinator will manage and coordinate various services related to the maintenance and operations of our facilities. This includes overseeing scheduling services for utilities, lawncare, snowplowing, and other property maintenance related responsibilities. The ideal candidate will possess excellent organizational skills and the ability to multitask while ensuring the smooth day-to-day operations of all facilities.

Key Responsibilities:

Scheduling & Seasonal Services

• Manage utility and service contract transitions related to acquisitions, sales, and tenant move-ins/outs.
\n
• Schedule warranty and sprinkler inspections.
\n
• Coordinate winterizations, snow removal, and lawn service start/stop schedules.
\n
• All other assigned tasks
\n

Information Management & Reporting

\n
• Save inspection and service reports.
\n
• Enter meter data, account numbers, and utility information.
\n
• Maintain and regularly update vendor lists.
\n
• Input and track preferred vendors.
\n

Tenant & Vendor Communication

\n
• Notify tenants of seasonal responsibilities for plowing and mowing.
\n
• Schedule utility turn-ons and shut offs in coordination with tenants and providers
\n

Qualifications:

\n
• Experience in facilities coordination or construction coordination is preferred.
\n
• Experience with utility companies, starting services, etc. a plus
\n
• Proficiency with Microsoft Office Suite and Google Workspace is preferred.
\n
• Strong organizational and communication skills.
\n
• Ability to manage multiple tasks simultaneously and work independently.
\n
• Can handle emergency situations with efficiency and calmness.
\n
• Prioritization of work is critical in this role.
\n
