Real Estate Administrator

Torburn Management, LLC is looking for an organized, detailed oriented commercial Real Estate Administrator to support the property management and engineering team by providing operational, administrative, financial and tenant service support. This role serves as the primary administrative liaison between tenants, vendors, and the onsite engineering team. The Commercial Real Estate Administrator works closely with the Property Manager and Chief Engineer to deliver exceptional property management services while maintaining compliance with company policies, lease obligations and operational needs. Ideally, the candidate has 2-5 years of prior real estate experience in a collaborative and fast-paced environment. The candidate will receive a base salary, excellent benefits and a target bonus. Job Description Assist property management and engineering team in a multitude of administrative tasks. Lead onsite communication with tenants, vendors and internal engineering staff members. Prepare vendor contracts and oversee RFP process. Maintain vendor and tenant certificates of insurance. Manage and coordinate team meetings, minutes and reports. Oversee the tenant work order management system (Angus). Assist the team with monthly billing reconciliations. Establish and maintain vendor and tenant files. Oversee office operations and maintenance. Assist in scheduling and tracking preventive maintenance programs and vendor compliance. Document property incidents and prepare reports for management and insurance purposes. Assist with accounts payable and accounts receivable processes, including invoice coding, rent-related documentation, and payment tracking. Qualifications Bachelor’s degree from a four-year University preferred or equivalent combination of education and experience. Commercial real estate experience of 2 - 5 years, preferably in property management operations. Strong written and verbal communication skills. Strong ability to organize materials and prioritize deadlines accordingly. Strong interpersonal skills to successfully communicate with management, vendors and tenants. Proficient in Microsoft Outlook/Word/Excel. Basic financial understanding to assist with contract and budgets. Basic understanding of Yardi, Angus, P2P or similar property management software preferred. Basic understanding of Mac products. Ability to work independently while collaborating effectively with onsite management, engineering, vendors, tenants and ownership. #J-18808-Ljbffr
