Job Description

The Patient Care Coordinator supports patients and clinical staff by managing high-volume inbound calls, coordinating follow-ups, processing medication refills, and maintaining accurate electronic medical records. This role leverages experience as a Medical Assistant or Pharmacy Technician to provide clinical support, handle prior authorizations, and ensure timely communication of lab orders and results within a fast-paced contact center environment.

Responsibilities

• Answer a high volume of inbound patient phone calls in a contact center environment and provide courteous, efficient service.
• Perform patient follow-ups and schedule follow-up appointments, ensuring all details are accurately documented.
• Update patient information and clinical notes through data entry in the electronic medical record (EMR) system, including Athena.
• Handle electronic refill scripts (ERX) and support medication management processes.
• Order labs as requested by clinical staff and ensure lab orders are entered correctly into the system.
• Relay lab results to patients and/or clinical teams in a timely and accurate manner, following established protocols.
• Support prior authorization processes for medications and related services, coordinating with pharmacies and insurance as needed.
• Utilize medical terminology and clinical knowledge to support patient care coordination and communication.
• Provide front desk–style customer service over the phone, including answering questions, routing calls, and resolving basic issues.
• Collaborate with healthcare team members to ensure smooth clinical support and continuity of care.
• Maintain accurate and up-to-date medical records and electronic health records in compliance with organizational standards.
• Handle insurance-related inquiries and documentation as part of patient coordination activities.
• Demonstrate strong customer service skills while managing 100+ calls per day in a professional and organized manner.

Essential Skills

• At least 1 year of experience as a Medical Assistant or Pharmacy Technician.
• At least 1 year of experience in a high call volume or call center environment.
• High school diploma or equivalent.
• Experience working in medical or healthcare settings, including clinical support.
• Proficiency with electronic medical records (EMR) and electronic health records (EHR), including Athena.
• Knowledge of medical terminology and healthcare processes.
• Experience handling electronic refill scripts (ERX) and medication-related tasks.
• Ability to order labs and accurately enter lab information into EMR systems.
• Experience with prior authorization processes in a medical or pharmacy environment.
• Strong customer service skills, including handling patient inquiries and concerns over the phone.
• Ability to perform accurate data entry and maintain detailed medical records.
• Comfort working in a fast-paced environment with 100+ calls per day.
• Basic Life Support (BLS) knowledge or certification, if applicable.
• Familiarity with insurance-related processes and documentation.

Additional Skills & Qualifications

• Background as a Registered Medical Assistant (RMA) or similar medical assisting certification is a plus.
• Experience in front desk or reception roles within healthcare settings.
• Previous work in pharmacy environments, including coordination with CoverMyMeds or similar platforms.
• Strong communication skills and the ability to explain medical information clearly to patients.
• Attention to detail and accuracy in data entry and record keeping.
• Ability to multitask and prioritize in a busy contact center environment.
• Demonstrated reliability and performance in prior roles, with a track record of meeting productivity and quality goals.

Work Environment

This role is fully onsite in a contact center environment, handling 100+ patient calls per day and providing clinical support over the phone. The schedule is Monday through Friday, 8:00 a.m. to 5:00 p.m. You will work primarily with electronic medical record systems, including Athena, and other healthcare and pharmacy technologies used for lab ordering, prior authorizations, and electronic refill scripts. This is a Contract to Hire position based out of Orlando, FL.

The pay range for this position is $18.00 - $19.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
