Construction Clerk

Construction Administrative Assistant

This role provides comprehensive administrative and document control support to a construction project team. You will help keep projects running smoothly by maintaining accurate records, coordinating information between stakeholders, and ensuring that documentation, deliveries, and project data are organized, up to date, and easily accessible.

Responsibilities

  • Maintain exhaustive site diaries that accurately capture daily work progress, weather conditions, workforce headcount, and equipment usage.
  • Organize and maintain project files, ensuring all documentation is properly labeled, stored, and easily retrievable.
  • Track project deliverables and log snags or defects, monitoring them through to completion and updating records as issues are resolved.
  • Process and log delivery notes, work orders, and invoices, ensuring all documentation is complete, accurate, and filed appropriately.
  • Act as the primary administrative point of contact between general contractors, project managers, and suppliers to support clear communication and prevent logistical bottlenecks.
  • Perform data entry tasks, including updating spreadsheets and project tracking tools with current information.
  • Provide general administrative support to the construction and project management teams, including filing, document control, and coordination of project-related paperwork.
  • Assist with basic budgeting and cost tracking activities as directed, using spreadsheets and other tools to maintain accurate records.
  • Support construction administration and project administration processes by following established procedures and maintaining consistent documentation standards.

Essential Skills

  • Experience providing administrative support in a construction or project-based environment.
  • Proficiency with Microsoft Office, including strong skills in Microsoft Excel for spreadsheets and data entry.
  • Ability to perform accurate and timely data entry, including updating logs, registers, and tracking tools.
  • Experience with document control, including organizing, filing, and maintaining project records and documentation.
  • Comfort working with Excel spreadsheets to track project information, deliveries, and budgets.
  • Strong organizational skills with the ability to manage multiple documents, files, and tasks simultaneously.
  • Effective communication skills to serve as an administrative point of contact between contractors, project managers, and suppliers.
  • Attention to detail when logging site activities, delivery notes, work orders, and invoices.

Additional Skills & Qualifications

  • Experience in construction administration or project administration.
  • Familiarity with construction workflows, including site diaries, snags or defects tracking, and project deliverables.
  • Exposure to budgeting or cost tracking in a project environment.
  • General administrative assistance experience, including filing, scheduling, and coordination.
  • Ability to adapt to both office-based and site-based work settings.
  • Comfort participating in interviews or meetings at active construction sites.

Work Environment

The role involves working both outside and inside at an active construction site and associated office spaces. The environment includes typical construction site conditions, such as varying weather, active equipment, and collaboration with site personnel, as well as standard office tools and technologies such as computers, Microsoft Office, and filing systems.

Job Type & Location

This is a Contract to Hire position based out of Johnstown, OH.

Pay and Benefits

The pay range for this position is $18.00 - $18.00/hr.
