This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Compensation and Benefits Coordinator based in the United States.
The Compensation and Benefits Coordinator will play a key role in ensuring employees receive accurate, timely, and high-quality support across compensation and benefits programs. This position combines day-to-day administration with opportunities to contribute to compensation processes, compliance, reporting, and employee experience. You’ll work closely with HR, payroll, finance, internal stakeholders, and external benefit providers to keep programs running smoothly. The role offers broad exposure to compensation and benefits operations within a diverse workforce of nearly 1,000 employees. Attention to detail, data accuracy, confidentiality, and responsive customer service will be essential to success. You’ll also contribute to annual processes such as open enrollment and pay reviews while helping improve the efficiency and consistency of HR operations. This is a full-time, first-shift position that is primarily on-site, with the potential to work from home up to two days per week when performance is in good standing.
Accountabilities
- Support the administration of compensation programs, including reviewing new and revised job descriptions for completeness, consistency, market mapping, and appropriate compensation grading.
- Maintain an accurate and up-to-date job description library, ensuring positions are reviewed within established timelines and have appropriate market compensation information.
- Maintain compensation data within the Human Capital Management (HCM) system and ensure employee and organizational information remains accurate.
- Prepare reports and documentation supporting audits, accruals, tax credits, and other compensation-related reporting requirements.
- Support compliance with federal, state, and local compensation regulations, including FLSA, equal pay, and pay transparency requirements.
- Prepare and distribute materials related to annual pay reviews, pay grade changes, bonus programs, and other compensation events.
- Partner with HR Operations to ensure compensation changes are processed accurately and on time.
- Maintain compensation records, procedures, documentation, and training materials.
- Complete employment verification and unemployment-related requests as needed.
- Coordinate day-to-day administration of health, dental, vision, life insurance, retirement, and voluntary benefit programs.
- Manage employee benefit enrollments, changes, and terminations, ensuring information is accurate across HCM and vendor systems.
- Lead annual open enrollment activities, including employee communications, training, issue resolution, and data validation.
- Respond to employee questions regarding compensation, benefits, and HR policies in a timely, professional, and service-oriented manner.
- Coordinate information required for regulatory reporting and support compliance with COBRA, HIPAA, ERISA, and other applicable requirements.
- Distribute required benefit documentation, including plan descriptions, benefit summaries, coverage information, termination notices, and retirement plan materials.
- Review benefit invoices for accuracy, apply appropriate accounting codes, submit bills for payment, and resolve discrepancies with carriers, payroll, accounting, and internal teams.
- Track service and operational metrics, including timely completion of new-hire and open-enrollment activities, accurate benefit billing, accurate annual pay statements, and timely responses to employee inquiries.
Requirements:
- Associate’s or bachelor’s degree in Human Resources, Business Administration, or a related discipline is preferred.
- At least 3 years of experience in benefits administration, ideally supporting a diverse employee population.
- 1–2 years of experience in compensation, payroll, finance, HR analytics, or a related area.
- Experience working with an HCM system to maintain and manage employee data; Workday experience is a plus.
- Professional HR certification or a related credential is preferred.
- Advanced Microsoft Excel skills, including formulas, pivot tables, reporting, and data analysis.
- Strong understanding of compensation and benefits administration, employee records, and related compliance requirements.
- Exceptional attention to detail and a strong commitment to data accuracy, consistency, and timely execution.
- Strong written and verbal communication skills, with the ability to explain HR and benefits information clearly to employees at different levels.
- Excellent customer service and relationship-building skills, with a professional and responsive approach to employee inquiries.
- Ability to manage confidential and sensitive employee information with discretion and professionalism.
- Strong organizational and prioritization skills, with the ability to manage multiple assignments simultaneously and adapt quickly when priorities change.
- Comfortable working collaboratively with HR, payroll, finance, vendors, and other internal stakeholders.
- Ability to work effectively in an office environment and, when eligible, transition between on-site and remote work.
- Willingness to occasionally enter production environments where large equipment and elevated noise levels may be present, following all applicable safety requirements.
