Senior Executive Assistant (DVC President's Office)

Senior Executive Assistant (DVC President's Office) Location: Contra Costa Community College District, President's Office (D1001) Pay: $83,952 to $102,276 per year (step 1 to step 5), step increases on July 1st each fiscal year. Permanent, full‑time, 40 hours per week, Mon–Fri 8:00 AM–5:00 PM. Position Summary Position defined under general direction of a College President, Vice Chancellor or Chancellor to provide confidential professional administrative and technical support to the President, Vice Chancellor and other administrative staff. The role includes routine administrative duties and special projects, with some supervision of lower‑level clerical staff. Key Responsibilities Coordinate and manage office workflow, including complex logistical support (meetings, room reservations, materials delivery). Develop, distribute, and maintain office work products, brochures, written material and web pages. Provide confidential technical and complex administrative support: agendas, records, minutes; schedule facilities; maintain calendars; prepare contracts and purchase requisitions; manage financial assistance and monitoring of expenditures; prepare reports, presentations and statistical documents. Serve as primary point of contact for external and internal constituents on matters pertaining to the Office of the College President, Vice Chancellor or Chancellor. Assist in implementing office goals, objectives, strategies, and work plans; evaluate operations; recommend improvements. Maintain records and ensure compliance with district and college policies and procedures. Participate in budget preparation, cost estimates, and monitoring of expenditures. Represent the President, Vice Chancellor or Chancellor at meetings and events as required. Build and maintain positive working relationships with co‑workers, other district employees and the public. Perform all related duties as assigned. Education and Experience Bachelor’s degree (BA/BS) from an accredited college with major coursework in business, organizational development, public administration, finance or a related field. Equivalently, up to two years of additional education may be substituted for the required experience. Minimum of six (6) years of progressively responsible full‑time clerical and/or administrative experience. At least three (3) years performing technical administrative support at or above an Administrative Assistant level. Additional education may be substituted for the required experience up to two years. Required Skills and Abilities Advanced written and verbal communication skills. Ability to coordinate complex administrative activities and implement policies. Strong organizational, analytical, and decision‑making skills. Proficiency with modern office software (word processing, spreadsheets, presentation programs, databases). Ability to handle confidential information with discretion. Proficiency in record‑keeping and report writing. Respectful, culturally sensitive and inclusive workplace conduct. Desirable Qualifications Proficiency in producing professional reports and presentations using MS Office Suite. Experience establishing new office systems and processes. Ability to manage multiple competing priorities with minimal supervision. Strong analytical and problem‑solving skills.
