Supervisory Administrative Specialist (Travel)

Summary This position is located in the U.S Small Business Administration (SBA), Office of Capital Access (OCA), Administrative Services Center (ASC), Travel Operations Branch in Herndon, VA. The incumbent supervises staff and serves as the principal advisor in the areas of travel arrangement services, travel vouchers, travel credit cards and support desk operations. Responsibilities As a Supervisory Administrative Specialist (Travel) at the GS- 0301-13, some of your typical work assignments may include: Supervise staff in coordinating travel plans, airline reservations, rental/GSA vehicles, and other travel related needs between travel agencies, ODR, HQ Centers and from disaster sites before and during large disaster operations, training sessions, conferences and other large-scale or sensitive operations. Supervise staff who ensure travelers have the necessary tools and use of their credit card to meet OCA/ODR&R mission requirements when deployed to a disaster. Assists with credit card applications, renewals, assignments, shipments, etc. Reviews reports or data which track proper closures and termination of employee accounts. Performs reconciliations on traveler's accounts. Utilizes multiple online, Web-based systems to perform tasks such as travel arrangements, support desk, credit cards and voucher payments. Interact daily with travelers, travel management companies, employees, and management in the performance of duties. Maintains a professional demeanor during all telephone conversations while working to resolve customer issues. Assists management in assessing the effectiveness of all the administrative functions performed in the travel department. Plans and directs the activities of the travel department in performing travel arrangements, credit cards, support desk and/or voucher processing duties to ensure an even flow and distribution of work. As required, adjusts workload assignments, as well as reviewing subordinates' quality of work. Answers questions and provides feedback to team members. Requirements Conditions of Employment Qualifications GS-13: One year of specialized experience, equivalent to the GS-12 grade level in the Federal service, obtained in either the private or public sector: Experience working in two or more areas, including travel arrangement, voucher examination, travel credit cards, and/or the support desk, and interpreting and applying applicable laws, regulations, and policies within those areas; and Identifying organizational, procedural and production issues and providing solid recommendations for improvements that supports a nation-wide travel program that supports disaster recovery requirements; and Providing customer service to internal and/or external customers by assessing needs, providing information or assistance, and resolving problems; and Experience in recommending, monitoring, and enforcing policies related to travel management in accordance with Federal Travel Regulations (FTR) and other federal requirements; and Experience in implementing controls to mitigate the risk of fraud, misuse, and abuse associated with federal travel requirements. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Generally, time in non-pay status as a federal employee is not creditable towards the specialized experience requirement listed above. TIME-IN-GRADE: If you are a current career or career-conditional federal employee applying for promotion under Merit Promotion you must have completed a minimum of 52 weeks in positions at the next lower grade level than the position being filled. All qualification requirements must be met by 11:59 pm (Eastern Time) on 06/05/2026.
