Accounts Payable Specialist

We are seeking a detail-oriented and highly organized Accounts Payable Specialist to join our finance team. This role is responsible for high-volume invoice processing, accurate general ledger coding, and ensuring proper three-way matching, with a strong focus on freight vendors and Bills of Lading (BOLs).

The ideal candidate thrives in a fast-paced environment, maintains accuracy under pressure, and has experience handling large invoice volumes daily.

Accounts Payable Processing

• Process 80–100 invoices per day accurately and in a timely manner.
• Perform three-way matching (Purchase Order, Receipt, and Invoice) to ensure proper authorization and accuracy.
• Apply appropriate General Ledger (GL) coding to all invoices.
• Maintain compliance with company policies, procedures, and internal controls.

Freight Invoice & Vendor Management

• Review and process invoices from freight vendors.
• Verify supporting documentation, including Bills of Lading (BOLs), for completeness and accuracy.
• Investigate and resolve invoice discrepancies involving:
  • Pricing
  • Quantities
  • Freight charges
  • Missing documentation
• Communicate with vendors and internal departments to resolve issues and maintain strong business relationships.

Reporting & Month-End Support

• Assist with month-end close activities related to Accounts Payable.
• Maintain organized records and documentation for audit and compliance purposes.
• Support reporting and reconciliation activities as needed.

Required Qualifications

• Minimum of 2 years of Accounts Payable experience, preferably in a high-volume environment.
• Strong understanding of General Ledger (GL) coding and accounting principles.
• Experience performing three-way matching.
• Proficiency with Microsoft Excel.
• Strong attention to detail and accuracy.
• Excellent organizational and time management skills.
• Ability to work independently and meet daily processing goals.

Preferred Qualifications

• Experience processing freight invoices and working with Bills of Lading (BOLs).
• Experience with ERP systems such as:
  • SYSPRO
  • SAP
  • Oracle
  • NetSuite
  • Similar accounting/ERP platforms
• Background in logistics, transportation, distribution, manufacturing, or supply chain environments.
• Strong analytical and problem-solving skills.

Work Environment

• Hybrid Schedule:
  • 3 days onsite in Tampa, FL
  • 2 days remote
• Standard business hours.
