We are seeking a friendly, organized, and detail-oriented Patient Services Representative to join our close-knit team of office team of 5 total members. You’ll be a vital part of the patient experience from the moment someone walks through our doors or picks up the phone — and your warmth, accuracy, and professionalism will make a real difference in some of the most meaningful moments of our patients’ lives.The ideal candidate is a fast learner who thrives in a high-demand, patient-facing environment, is comfortable rotating between front desk check-in and switchboard duties, and brings strong computer skills and attention to detail to everything they do.What You’ll DoAnswer and direct high-volume phone calls with professionalism and warmthSchedule patient appointments and coordinate surgery scheduling and authorizationsTake accurate messages and relay them promptly to the appropriate staffPrepare charge slips and accurately document patient charge ticketsPull, file, and manage patient chartsHandle general office tasks including filing, faxing, copying, and scanningAssist medical and administrative staff with day-to-day operationsMaintain strict patient confidentiality and ensure HIPAA compliance at all timesProvide exceptional customer service to every patient and visitorRotate between front desk check-in and switchboard responsibilities as neededWhat We’re Looking ForHigh School Diploma or higherMinimum 2 years of experience in a medical office setting preferredExperience with medical records and surgery scheduling highly preferredProficient in medical office software and EHR systemsStrong computer skills with high attention to detailExcellent verbal and written communication skillsAbility to problem-solve and use sound judgment in a fast-paced environmentA reliable team player who works well in a small, collaborative departmentScheduleThis is a full-time, in-person position working out of two locations: Santa Monica and Encino. The schedule is Monday through Friday 7:00am - 3:30pm with some rotating weekends and holidays. On Mondays, Wednesday, and Fridays, you will be in the Santa Monica location, with Tuesdays and Thursdays in Encino.
