Project Management Administrator

The Project Management Administrator contributes to the success of Eagle Flexible Packaging by providing administrative support to the Project Management team. Under the direction of the Customer Service Manager, the Project Management Administrator works closely with the Project Managers (PMs) by handling clerical duties, reports, and other tasks essential to the functions of the Project Management Department. Primary Duties and Responsibilities Enter sales re-orders into enterprise resource planning (ERP) system and create order confirmations. Create job packets and other necessary paperwork and details for Production to fulfill orders efficiently and accurately. Quality Control (QC) check work order packets entered into the ERP by other members of the Project Management team to ensure all information is accurate for production. Request preflights from Prepress Department. Request and compile color drawdowns from Ink Department. Assist PMs with various customer mailings including but not limited to assembling hard copy proofs, color drawdowns, and print samples and packing up customer packages and preparing them for shipment. Maintain weekly shipping request log and follow up with PMs as needed. Assist with maintaining customer open order and finished goods inventory reports. Update items for re-make plates requests from Production. Act as back-up for PMs as needed (i.e., act as back-up point-of-contact for internal and external customers when PMs are out of the office or otherwise unavailable). Ensure that all company food safety and quality assurance procedures are followed at all times. Escalate any issues/concerns to management. Other related duties as assigned. Requirements High school degree or equivalent (GED). Minimum one year experience in an office environment. Strong sense of urgency to deliver the desired tasks with follow-through, responsiveness, and professionalism. Detail-oriented and accountable for the accuracy of the information provided to internal and external customers. Excellent customer service acumen, including ability to effectively support and communicate with internal and external customers. Proficient in keyboarding/typing, including ability to accurately and effectively manage a high volume of data entry. Proficient in Microsoft Word and Excel with proven ability to learn new software programs. Professional proficiency in verbal and written English including ability to effectively and professionally communicate with individuals in diverse roles. Preferred Qualification Associate or bachelor’s degree in Business, Customer Service, Communications, or related field. Relevant administrative and/or customer project management support experience. Experience with enterprise resource planning (ERP) software, ideally EPS Radius. Experience in the printing industry and/or flexible packaging industry. Bilingual inEnglish/Spanish a plus. Vacation/PTO –The amount of vacation/paid time off (PTO) employees receive each year starts at 80 hours (2 weeks) each year, which accrues at a rate of 1.538 hours per week, and increases with the length of employment. 8 Company Paid Holidays – Eligible after 60 days of employment. Sick Leave – Eligible for paid sick days at the rate of 3 days (24 hours) per year after 6 months of service (prorated for per the calendar year). Tuition Reimbursement – Following 6 months of employment, employees are eligible for reimbursement for courses, certifications, and training programs that support their Eagle careers.
